Hourly Rate : $21.42/Hour - $28.28/Hour
Schedule : Monday – Friday, 8:00 AM – 5:00 PM
Certifications/Licenses Required: High School Diploma or equivalent
SUMMARY
The City of Chicopee’s Treasurer’s Department is hiring a Principal Account Clerk who will be responsible for providing essential support to the Payroll Administrator and assisting with a variety of payroll-related and administrative functions. The Principal Account Clerk will also assist in processing A/P warrants for all City Departments. This position serves as a backup to the Payroll Administrator and ensures the smooth operation of payroll processing, employee recordkeeping, and departmental communications. The ideal candidate is highly organized, detail-oriented, and capable of handling confidential information with discretion and professionalism.
ESSENTIAL DUTIES INCLUDE:
- Serve as primary backup to the Payroll Administrator, assisting with payroll processing and related tasks as needed.
- Assist with resolving payroll issues and responding to employee inquiries regarding pay, deductions, and benefits.
- Maintain accurate and up-to-date employee payroll files, including processed requests, verification documents, change sheets, and PD 1 00s.
- Prepare for and participate in the full payroll process, including data entry, validation, and reporting.
- Enroll new employees in OBRA (Other Post-Employment Benefits Retirement Account) and process salary or loan changes.
- Process requests for changes to payroll deductions, including union dues and voluntary contributions.
- Handle distribution requests and generate deduction and approval reports.
- Email payroll approval sheets to all departments during the municipal payroll week.
- Prepare payroll packages for auditing, retirement, and Assistant Treasurer review.
- Upload Empower deduction reports and ensure vendor checks and deduction reports are mailed on schedule.
- Create and organize new payroll files, ensuring proper filing and records retention.
- Process employment verifications and respond to external agencies and institutions.
- Book travel arrangements for city and school employees according to the city policy, including lodging and transportation.
- Provide customer service at the front counter, answer phones, assist with public inquiries, and process Transfer Station request forms.
- Accept, process, and schedule Transfer Station requests and redemptions.
- Assist with general mailings and office correspondence.
- Perform other related duties as assigned.

QUALIFICATIONS
- High School Diploma or equivalent - Required
- A minimum of three (3) years of experience in a business office. - Required
- Working knowledge of payroll procedures, benefit programs (including OBRA), and union deduction practices. - Required
