Job Summary:
Employees in this role are considered support staff for office management needs. This includes secretarial duties and clerical responsibilities. Employees are also responsible for the tracking and monitoring of all CBHI/ CSA referrals and performing other Manage Care Entities process and procedures. This includes assuring performance specifications are followed, marketing of program, analyzing data, and reporting on referrals, waitlist, and discharges.
Duties and Responsibilities:
Client Service Responsibilities
- MABHA
- Referral Tracking
- Waitlist Tracking and Compliance Calls
- Opening/ Closing Electronic Health Record Packets
- CSA Workbooks
- Referral Source Tracking
- Marketing
- Contacting referral sources from waitlist when immediate openings are available
- Informing admin about waitlist status or need for referrals via email
- Scheduling Presentations for admin to generate referrals
- Supervise the according program/ staff.
- Participate in monthly department meetings.
- Office Management; i.e. Supply ordering, supply tracking, and any other office needs
- Performs other related duties and responsibility as assigned by Supervisory Staff
Administrative Responsibilities/ Record Keeping
- Data Entry
- Reporting on monthly numbers (i.e. number of referrals, number of opening/ closings, etc.)
- Management of closed charts/ storage
- Receptionist and other clerical duties
Knowledge, Skills, and Abilities Required
- Ability to work with Target Population
- Ability to work independently and as part of a team
- Ability to structure and Organize job responsibilities with minimal supervision
- Demonstrate good verbal and written communication skills
- Displays sound judgement
- Ability to provide goal-oriented services
- Works well as a team member
- Strong communication and writing skills
- Bilingual: (Spanish/English & Nepali/English)
Minimum Qualifications:
- High school degree or equivalent; post-secondary education an asset
- At least 2 years of clerical experience
- Bilingual skills in Spanish-English required
- Microsoft Office proficient (e.g. Excel, Word, Power Point)
- Flexibility to work shifts, including evenings, as required
- Ability to organize, prioritize and work under extreme work pressure, heavy workloads and deadlines
- Positive attitude and work ethic
- Excellent verbal and communication skills
- Must be team oriented
- To provide supervision as indicated of the consumer’s prescribed medications and record this in his/her progress notes.
- To adhere to program and agency policies and procedures.
- To attend all staff meetings and all trainings as required by the funding source and/or the Agency.
- Represents Agency in a professional manner.
