Mailroom Coordinator

We are seeking a Mail Operations Coordinator to support a high-volume document and distribution environment. This is a 6-9 month temporary/contract opportunity for someone who enjoys structured production work, takes pride in accuracy, and values strong internal customer service.

This role supports daily outbound mail operations generated from multiple business systems and plays a key part in ensuring quality, timeliness, and service commitments are consistently met.

What This Role Offers

• Engagement Type: 6-9 month contract
• Pay Rate: $19/hour
• Schedule: Monday–Friday, 7:30 AM–4:00 PM (on-site)

Key Responsibilities

• Oversee and monitor daily mail production output to ensure accuracy, completeness, and timeliness
• Conduct routine quality checks on jobs and materials before release
• Identify irregularities in systems, workflows, or output and escalate as appropriate
• Track and record daily production activity and volumes
• Coordinate with internal teams and business partners to support operational needs
• Ensure service level commitments are consistently achieved
• Maintain adequate inventory of mailing and production supplies
• Follow established operational guidelines, procedures, and compliance standards
• Recommend process enhancements to improve efficiency and quality
• Provide basic internal customer support, which may include phone coverage, mail distribution, and administrative assistance
• Perform additional operational or support tasks as needed
  

Qualifications & Skills

• High school diploma, GED, or equivalent professional experience
• Comfortable using a computer and standard office/production equipment
• Strong attention to detail with the ability to perform repetitive tasks accurately
• Basic reading, writing, and math proficiency
• Able to work independently as well as collaboratively within a team
• Demonstrates sound judgment and problem-solving abilities
• Takes ownership of responsibilities and proactively addresses issues
• Adapts easily to changing priorities, processes, and environments
• Works effectively in a fast-paced, deadline-driven production setting
• Comfortable working in a noisy operational environment
• Able to sit or stand for extended periods
• Reliable on-site attendance, including during inclement weather when required
