Job Summary
We are seeking a reliable, detail-oriented Case Assistant to support two Career Service Counselors with visual impairments at the MassAbility Salem Office. This role provides administrative and case management support by assisting with documentation, electronic forms, case records, and visual assistance to ensure efficient service delivery.
The ideal candidate is organized, dependable, and comfortable working with case management systems, Microsoft Office applications, and electronic documentation while maintaining confidentiality and accuracy.
Responsibilities
- Provide administrative support to Career Service Counselors in managing client case files and daily operations.
- Assist with tasks in the MassAbility Case Management System, including creating documents, letters, purchase orders, contract orders, financial need determinations, case notes, and individualized plans.
- Complete and process electronic forms, referral documents, tuition waiver letters, MBTA TAP letters, and other required documentation.
- Upload, organize, retrieve, and maintain electronic records to ensure accurate and accessible case files.
- Read and explain information displayed on computer screens to support counselors with visual impairments.
- Provide visual assistance and administrative support as requested.
- Ensure data accuracy, confidentiality, and compliance with organizational policies.
- Coordinate with counselors to prioritize daily tasks and meet deadlines.
- Participate in virtual meetings using Microsoft Teams and Zoom as needed.
- Perform additional administrative duties assigned by supervisors.
Required Qualifications
- High school diploma or equivalent; Associate's degree preferred.
- Previous administrative, office support, case management, or customer service experience.
- Strong organizational skills with excellent attention to detail.
- Ability to work independently and manage multiple priorities.
- Excellent verbal and written communication skills.
- Ability to understand and follow verbal and written instructions.
- Strong interpersonal skills and a positive, service-oriented attitude.
- Ability to maintain confidentiality while handling sensitive information.
