POSITION SUMMARY:

The division of pediatric neurology at Boston Medical Center and the Epilepsy Foundation New England have united to improve the systems and services that provide care to children and youth with epilepsy and co-occurring disorders such as autism and developmental disability across five states. Under the direction of Principal Investigator (PI) Dr. Laurie Douglass, the Family and Professional Advisory Council Coordinator role will ensure the coalition’s improvement projects are patient/caregiver-centered and responsive from launch to finish. Key responsibilities will involve coordinating biannual symposiums, facilitating quarterly advisory council meetings, conducting annual community needs assessments and creating patient and family-facing education materials.

ESSENTIAL RESPONSIBILITIES / DUTIES:

Program Support:

  • Assist the PI and program manager to strategically design and implement five novel strategies aimed to improve outcomes and reduce disparities for transition-aged youth with epilepsy and co-occurring disorders such as autism or other developmental disability on a regional level Coordinate an advisory council of patients, caregivers, and allied health professionals that will assist in developing and refining all five regional strategies. Specifically, the coordinator will:
  • Recruit, train and continuously support 10-15 active advisory council members each year
  • Organize, plan, and facilitate quarterly advisory council meetings, continuous subcommittee meetings, biannual in-person council symposiums, and other stakeholder convenings as appropriate for the goals of the overall improvement project through the end of the funding period (anticipated through August 2029)
  • Oversee and assist with all major communications between council members and other project team members, including the PI and project manager, such as regular e-newsletters that describe project progress in accessible terms
  • Co-develop and distribute a comprehensive needs assessment package of surveys, interviews, and focus group materials to advisory council members and their extended networks; ideally reaching 125 respondents across all New England states annually Create patient and family education materials responsive to council member feedback that will advance project goals, such as materials in a standard transition planning folder used by patient navigators across the region

Grant Management:

  • Assist the PI and project manager in collecting, analyzing, interpreting and responding to incoming data from needs assessment results, council member feedback, and other sources to guide short-term and long-term strategic planning efforts
  • Assist the PI and project manager in orienting and providing ongoing mentorship to junior project team members who will assist in key grant-related projects
  • Assist the PI in preparing reports, manuscripts, and conference materials related to primary grant project findings

Administrative:

  • Coordinate payments for advisory council payments, symposium planning costs, and ClinCard compensation for needs assessment respondents per the overall project budget plan
  • Attend weekly project team members and facilitate, take notes as requested; taking turns with other project team members
  • Other responsibilities as delegated by the project PI essential to achieving key project goals Comply with all BMC / federal regulations and policy expectations when completing the above tasks

JOB REQUIREMENTS

EDUCATION:

Requires Bachelor's degree (or equivalent combination of formal education and experience).

EXPERIENCE:

Minimum 3-5 years of relevant post-collegiate professional experience required. Previous project coordination also preferred.

KNOWLEDGE/SKILLS:

  • Excellent verbal/written English communication skills, including excellent grammatical, editing and proofreading skills.
  • Advanced skills with Microsoft applications (Outlook, Word, Excel, PowerPoint, Access) and other web-based applications. Ability to produce complex documents, perform analysis and maintain databases.
  • Ability to work independently and exercise independent judgment.
  • Excellent interpersonal skills necessary to be socially perceptive in accepting and relaying confidential information, communicating policies and procedures, and interacting effectively with a variety of Medical Center personnel and outside personnel.
  • Strong problem solving skills.
  • Proven ability to work with confidential information.

Compensation Range:

$17.07- $23.80

This range offers an estimate based on the minimum job qualifications. However, our approach to determining base pay is comprehensive, and a broad range of factors is considered when making an offer. This includes education, experience, skills, and certifications/licensures as they directly relate to position requirements; as well as business/organizational needs, internal equity, and market-competitiveness.
