Administrative Assistant
Position Summary
Rapoza Landscape, a leader in high-end landscape design, construction, and property maintenance on Cape Cod, is seeking a professional, organized, and tech-savvy Office Assistant to join our growing team.
This position provides vital support to the Office Manager and management team in all aspects of office administration, accounting, and human resources. The ideal candidate is dependable, detail-oriented, and comfortable with technology, capable of managing multiple priorities in a fast-paced environment. Bilingual proficiency in English and Spanish is strongly preferred.
Essential Tasks and Responsibilities
- Assist the Office Manager with bookkeeping and administrative duties, including accounts receivable, accounts payable, billing, timekeeping, and payroll support.
- Manage and maintain company social media and digital advertising platforms (Instagram, Facebook, Google Ads, Meta Ads, EDDM), ensuring brand consistency, engagement, and optimal performance across all channels.
- Utilize landscape management and HR software systems to manage administrative workflows, including accurate data entry, report creation, digital document organization, and internal communication.
- Greet and assist walk-in applicants professionally and courteously throughout the application process.
- Handle confidential and sensitive information with discretion.
- Assist with employee interviews, onboarding, and training coordination.
- Support the administration of employee benefit programs, including enrollments and updates.
- Help plan and coordinate team and company events throughout the year.
- Track and manage employee attendance and time-off records for all departments.
- Maintain organized and up-to-date employee files and HR documentation.
- Ensure all administrative tasks are completed accurately, efficiently, and on schedule.
- Communicate potential issues, compliance matters, or employee concerns promptly to the Office Manager.
- Maintain professionalism, punctuality, and reliability on a consistent basis.
- Participate in additional Rapoza Landscape initiatives and projects as needed.
Requirements
- Minimum of 2 years of experience in an administrative, customer service, or office support role.
- Strong proficiency in Microsoft Office (Word, Excel, Outlook) and general computer literacy.
- Experience managing social media platforms (Instagram, Facebook, etc.).
- Bilingual (English/Spanish) required; Portuguese proficiency a plus.
- Ability to handle confidential information responsibly.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities with attention to detail.
- Flexibility to adapt to shifting priorities and business needs.
- Ability to learn and work within QuickBooks Online and Aspire software.
- Professional appearance, positive attitude, and strong interpersonal skills.
