Position Summary:
The Legal Assistant is responsible for managing, producing, and processing administrative and client-specific information to support business operations and deliver high-quality client service. Working closely with timekeepers and as part of a virtual support team, this role involves complex tasks requiring knowledge of corporate practice, court and government filing procedures, and compliance policies (e.g., conflicts of interest, privacy, deadline tracking, and proper handling of confidential information).
A successful Legal Assistant provides administrative and client support with a strong focus on accuracy, efficiency, and exceptional service. This role also functions as a client relationship coordinator, assisting with onboarding new clients, maintaining critical client data, and managing a high volume of client and administrative work. Responsibilities may also include duties typically associated with a Project Assistant.
Responsibilities:
- Type, edit, format, and proofread a variety of moderately to highly complex documents
- Independently perform a full range of administrative support tasks
- Manage and organize digital and physical files, maintaining client and departmental records using established protocols and naming conventions
- Delegate tasks to appropriate internal resources to ensure timely completion of assignments
- Prepare and assemble documents for client transactions and filings with agencies
- Monitor month-end closing schedules and remind timekeepers to release time entries to meet deadlines
- Edit billing narratives in accordance with established time entry standards using billing systems
- Manage client and matter intake processes, including gathering required information, tracking intake stages, preparing engagement letters, and ensuring proper documentation and storage
- Utilize internal tools and systems to locate information such as billing rates, time entry standards, and financial data
- Conduct basic legal and internet research as needed
- Collaborate with timekeepers and team members to meet deadlines and complete assignments
- Track deadlines, anticipate needs, and proactively support timekeepers
- Follow up to ensure tasks are completed accurately and efficiently
Qualifications/Requirements:
- 2–4 years of legal administrative or secretarial experience
- Experience handling a wide range of administrative responsibilities
- Experience coordinating travel arrangements
- Ability to support multiple professionals in a fast-paced environment
- Strong organizational skills with the ability to manage competing priorities
- Excellent verbal and written communication skills
- Strong analytical, interpersonal, and client service skills
- Ability to produce accurate documents from rough drafts, handwritten notes, or verbal instructions
- Familiarity with court procedures and regulatory agency requirements
- Ability to work independently while contributing to a team
- High level of professionalism, confidentiality, and discretion
- Strong follow-up and responsiveness to client and team needs
- Understanding of business relationships and confidentiality principles
- Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint) and experience with legal and document management software; ability to quickly learn new systems
