Job Summary:
We are seeking an experienced Administrative Assistant Senior to provide administrative and office support at a combined manufacturing and office facility in Devens, MA. This role requires strong organizational skills, attention to detail, and the ability to work independently while supporting multiple teams and maintaining accurate records.

Key Responsibilities:

  • Provide administrative support across various departments within the site.
  • Organize, scan, file, and maintain critical operational records with high attention to detail, including part numbers and serial numbers.
  • Enter and update data accurately into traceability databases while ensuring compliance with quality and documentation standards.
  • Maintain office and kitchen supplies inventory and ensure workspaces remain organized.
  • Handle incoming/outgoing mail and route voicemail messages appropriately.
  • Support site visitors by coordinating conference rooms, catering, and sign-in procedures.
  • Maintain lobby and physical file storage areas in an organized manner.
  • Assist with year-end boxing and organizing of paper records for off-site storage.
  • Follow company procedures related to safety, export control, and communication standards.
  • Utilize Microsoft Office and Adobe Acrobat for document management, communication, and reporting.

Required Qualifications:

  • Minimum 2 years of related office or administrative experience.
  • High School Diploma or equivalent required.
  • Certificate in administrative or related functional area preferred.
  • Strong proficiency in Microsoft Office (Word, Excel) or equivalent tools.
  • Knowledge of office equipment, administrative procedures, and office terminology.
  • Ability to type 40 WPM accurately.
  • Strong organizational, communication, and multitasking skills.
  • Professional attitude with ability to collaborate effectively in a team environment.

Ideal Candidate:

  • Dependable, detail-oriented, and comfortable working in a fast-paced office/manufacturing setting.
  • Strong recordkeeping and document management experience preferred.
  • Positive attitude with excellent customer service and interpersonal skills.
