Grant Administrator (Part-Time Contractor)

LaunchSpace, Inc. is a 501(c)(3) nonprofit organization providing a community makerspace, workforce development programs, and creative business incubation to support innovative economic development in post-industrial, semi-rural communities of the North Quabbin region of Massachusetts.
LaunchSpace is seeking a highly detail-oriented and experienced Grant Administrator to work closely with the Chief Executive Officer and program leadership to oversee the administration, compliance, and reporting of organizational grants. This role ensures that grant-funded programs operate smoothly and in compliance with funder requirements while supporting the organization’s continued growth and impact.
This is a flexible part-time independent contractor position (10–15 hours per week) with a combination of remote and occasional on-site collaboration.
Position Overview
The Grant Administrator is responsible for managing and coordinating the full lifecycle of organizational grants from award through reporting and closeout. The role requires strong organizational skills, attention to detail, and familiarity with nonprofit grant compliance, budgeting, and reporting requirements.
The Grant Administrator will oversee 10–20 active grants simultaneously, ensuring that reporting, compliance requirements, financial tracking, staffing allocations, and documentation are completed accurately and on time.
The Grant Administrator serves as a key internal partner supporting the CEO, program staff, and finance team to ensure grant-funded projects are implemented in alignment with funder requirements and organizational goals.
Key Responsibilities: Grant Compliance & Administration
- Oversee and track 10–20 active grants simultaneously, ensuring compliance with federal, state, foundation, and corporate funding requirements.
- Maintain a comprehensive grant tracking system and grant calendar including reporting deadlines, site visits, deliverables, and closeout requirements.
- Monitor grant agreements and ensure adherence to award conditions, restrictions, and reporting schedules.
- Maintain organized grant files including contracts, award letters, reporting templates, budgets, and correspondence.
- Coordinate grant documentation required for audits, monitoring visits, and closeout procedures.
Grant Reporting & Documentation
- Coordinate and prepare grant reports in collaboration with the CEO, program staff, and finance team.
- Compile program data, financial documentation, and impact metrics for required funder reports.
- Ensure timely submission of all interim and final grant reports.
- Maintain documentation required for grant compliance, audits, and monitoring.
Grant Budget & Financial Oversight
- Monitor and oversee grant budgets across multiple active awards to ensure expenditures align with approved funding allocations.
- Track and manage staffing allocation budgets across grants, ensuring staff time and expenses are properly distributed across funding sources.
- Work closely with the organization’s accountant and leadership team to reconcile financial records and grant expenditures.
- Review invoices, receipts, and financial documentation related to grant-funded activities.
- Identify potential budget variances and flag issues proactively.
- Prepare and submit budget modification requests or amendments to funders when necessary.
- Support preparation of financial documentation required for grant reporting and compliance.
Systems & Data Management
- Maintain accurate grant records in internal databases, shared systems, and document storage platforms.
- Support development of efficient grant tracking systems, templates, and workflows.
- Maintain clear documentation and historical records for all grant-funded programs.
Organizational Collaboration
- Work closely with the CEO, Program Director, and staff to coordinate grant deliverables and reporting requirements.
- Assist in preparing grant-related materials for Board meetings, funder updates, and site visits.
- Support internal communication regarding grant timelines, reporting deadlines, and compliance requirements.
Qualifications Required
- Experience working in the nonprofit sector
- 2+ years experience in grant administration, grant management, or nonprofit program administration
- Experience managing multiple grants simultaneously (10+ grants preferred)
- Experience overseeing grant budgets and financial compliance
- Exceptional attention to detail and organizational skills
- Strong written communication skills
- Ability to manage multiple deadlines and priorities simultaneously
- Ability to work independently with minimal supervision
Preferred
- Experience administering federal, state, or municipal grants
- Familiarity with programs such as HUD, FSIG, MA EOED, or other public funding programs
- Experience with nonprofit CRM or grant management systems
