Executive Office Administrator
Harvard Chabad
Harvard Chabad is seeking a motivated, organized, and confident Office Administrator to support the daily operations of our fast-paced, mission-driven organization.
In this role, you will be the operational backbone of the office, ensuring that systems run smoothly, communication flows effectively, and leadership is supported through strong organization and follow-through. This is a highly collaborative role that requires initiative, discretion, and excellent administrative judgment.
Key Responsibilities
- Manage day-to-day office operations to ensure efficiency, organization, and consistency
- Maintain office systems, files, records, and internal processes
- Serve as a central point of contact for staff, vendors, and external partners
- Ensure the office is well organized and functioning smoothly at all times
- Leadership & Administrative Support
- Support the President with scheduling, coordination, and administrative follow-through
- Maintain the President’s calendar and timelines to support organizational planning
- Prepare materials for meetings, events, and engagements
- Track action items and ensure timely follow-through across departments
The Ideal Candidate Will Bring
- Strong organizational and prioritization skills with excellent attention to detail
- Proven ability to follow up, follow through, and manage multiple tasks simultaneously
- Clear, professional communication and strong interpersonal skills
- High level of discretion and comfort handling confidential information
- Ability to stay focused and positive in a fast-paced environment
- Proficiency in Google Workspace and Microsoft Office
Qualifications
- Bachelor’s degree or equivalent professional experience
- 5–7 years of relevant administrative or office management experience
- Experience supporting senior leadership preferred
