Office and Payroll Administrator

Responsibilities
- Provide comprehensive administrative support to management and office staff
- Answer phones, manage emails, and serve as a point of contact for employees and vendors
- Oversee office supply inventory and place orders as needed
- Assist with general office operations, including equipment and facility maintenance coordination
- Manage deliveries and greet visitors
- Maintain organized filing systems for employee, project, and compliance records
- Track employee certifications, licenses, and required documentation
- Support technology needs, including system logins, mobile devices, and basic device tracking
- Assist with company communications, announcements, and internal notices
- Provide payroll support, including time entry, verification, and corrections for hourly and salaried employees
- Assist with employee records management, onboarding, and offboarding processes
- Track paid time off, sick time, and seasonal employee hours
- Assist with administration of Auto and General Liability claims
- Coordinate DOT appointments, driver’s licenses, medical cards, and required certifications
- Manage fuel cards and coordinate fuel pump access
- Perform other administrative and payroll-related duties as assigned
Qualifications
- High school diploma or equivalent; additional education or certification preferred
- 1–3 years of experience in office administration or payroll support
- Experience with hourly labor and timekeeping systems
- Proficiency in Microsoft Office (Excel, Word, Outlook, etc.)
- Strong attention to detail and organizational skills
- Ability to handle confidential employee information
- Bilingual (English/Spanish) preferred
- Experience in landscaping, construction, or snow management industries is a plus
- Familiarity with payroll systems and knowledge of overtime rules, prevailing wage, or certified payroll is an asset
- Experience supporting seasonal or high-volume payroll cycles is beneficial
- Excellent communication skills with both office staff and field crews
- Ability to work effectively in a fast-paced, deadline-driven environment
- Strong problem-solving skills and adaptability during peak seasons
- Professional, team-oriented attitude
Compensation
Salary Range: $48,000 - $58,000 based on experience and qualifications.
