POSITION TITLE: Staff Associate - Assistant to the Vice President of Economic & Business Development (part-time)

DEPARTMENT: Economic & Business Development

REPORTS TO: Interim Vice President of Economic and Business Development

LOCATION: Fall River, MA

JOB STATUS: This is a part-time, non-unit position without benefits not to exceed 18.5 hours per week.

SALARY: $38.55/hr

The Executive Assistant provides high-level administrative support, including but not limited to managing schedules, coordinating meetings and events, preparing reports and presentations, handling confidential information, and serving as a liaison between the executive and internal/external stakeholders. The Executive Assistant ensures the smooth operation of the executive's office and contributes to the overall efficiency of the team/department, among other duties, as assigned.

WE'LL COUNT ON YOUR TO:

  • Maintain and improve administrative systems related to scheduling, documentation, tracking, and reporting.
  • Develop and maintain shared calendars, trackers, and workflows to support division-wide coordination.
  • Serve as a primary point of contact for internal staff, external partners, and stakeholders.
  • Support onboarding of new staff, consultants, or student workers within EBD.
  • Act as the key decision maker on administrative tasks.
  • Exercise independent judgment on administrative and operational matters, escalating issues as appropriate.
  • Prioritize and triage requests on behalf of the Vice President to ensure effective use of time and resources.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Serve as the office administrator and oversee all administrative operations for the department.
  • Support both internal and cross-departmental projects as directed by the Vice President.
  • Task and project-specific execution, including:
  • Assist with the development, management, and reporting of departmental and project budgets and ad-hoc reports.
  • Assist with purchase requisitions, invoices, contracts, and expense tracking in coordination with Finance.
  • Track multiple funding sources (grants, contracts, internal accounts) and support reporting requirements.
  • Support with the development and maintenance of the departmental policies and procedures.
  • Prepare routine budget summaries and support audits or grant reviews as needed.
  • Support EBD events such as departmental meetings, retreats, and programmatic events.
  • Perform other duties as assigned in support of the strategic and operational goals of the division.

Requirements:

REQUIRED QUALIFICATIONS:

  • High School Diploma
  • At least two years of relevant experience.

PREFERRED QUALIFICATIONS:

  • At least five years of relevant experience; preferably in an administrative or executive assistant role.
  • Knowledge of office administration, including scheduling, correspondence and record-keeping.
  • Proficiency in using office software (e.g. Microsoft Office Suite).
  • Strong database experience; preferably with specialized software used by the institution, including but not limited to Banner, Argos, HRCMS, and project management tools.
  • Proactive approach to tasks, anticipating needs, and taking initiative to address them.
  • Demonstrate a high level of professionalism in all interactions and tasks.
  • A dedication to collaboration and contributing to a strong institutional culture.
  • Reliable transportation in order to travel to and from meetings, trainings, or campus and community locations as required.
  • The ability to work effectively with a diverse student body, faculty, and staff.
