Staff Assistant III (Administrative Assistant)

Job Summary
The Department of Immunology and Infectious Diseases (IID) was formed in 1997 when the Departments of Cancer Biology, Molecular and Cellular Toxicology and Tropical Public Health were merged. The department focuses on the biological, immunological, epidemiological and ecological aspects of viral, bacterial and protozoan diseases of animals and humans, including the vectors that transmit infectious agents. Research in the department's 14 laboratories is primarily focused on diseases of developing countries.Position Description
Reporting to the Assistant Director of Operations and Administration, this position provides administrative support to IID faculty and performs administrative tasks as a member of the department's administrative team. Duties and responsibilities include, but are not limited to, the following:- Managing complex calendars, schedules, and appointments
- Making travel arrangements
- Coordinating meetings and presentations
- Assisting with publication and grant preparation
- Creating and submitting expense reports and travel authorization requests
- Editing websites
- Other duties as assigned
Basic Qualifications
- 3+ years of related work experience; a combination of education and experience may be considered
Additional Qualifications and Skills
The following job-specific skills and competencies are preferred:- Bachelor's Degree
- Experience in an academic or research environment is a plus
- Experience with Microsoft Office (Word, Outlook, Excel, PowerPoint)
- Experience maintaining confidentiality and exercising discretion
- Excellent organizational and interpersonal skills, including communicating appropriately with a variety of clients and stakeholders
- Dedicated team player with a strong customer service orientation
- Experience prioritizing and managing multiple competing deadlines and requests from multiple sources simultaneously
- Awareness of and aptitude to appropriately and effectively understand, respect, and adapt to cultural and identity-based difference within group environments

Work Format Details
This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.Benefits
