Part-time Office Manager

John Winthrop School for Young Children is located in the historic Back Bay of Boston and has served multiple generations of families in the area for 50 years. Our mission is to foster the social, emotional, physical and cognitive development of young children. Summary
We are looking for an Office Assistant to join our team. The Office Assistant is responsible for office management, supply ordering, and offers administrative support to Director, Assistant Director, teachers and volunteers. The Office Assistant will work closely with Director and Assistant Director to support a variety of school operations.
Responsibilities
Office Management:
- Answer phones, emails, and handle general inquiries from parents, staff, and visitors.
- Organize and maintain office files, records, and documentation.
- Schedule meetings, appointments, and manage school calendar.
Light Bookkeeping:
- Assist with basic bookkeeping tasks, including invoicing and payment tracking via QuickBooks
- Maintain records for tuition payments and assist with financial reports.
Supply Ordering & Inventory Management:
- Monitor school supplies, order materials, and ensure adequate stock levels.
- Manage inventory of office and classroom supplies, ensuring timely restocking.
Online Platform Management:
- Oversee the school’s online platforms for tuition management, including tracking payments and issuing receipts.
- Manage fundraising platforms and assist with online donation processing.
- Update and maintain the school’s website and social media presence as needed.
General Administrative Support:
- Provide administrative support to staff, teachers, and the school director as needed.
- Prepare documents, forms, and communications for school events and activities.
Requirements
- Previous office management, administrative, or bookkeeping experience, preferably in an educational setting.
- Basic bookkeeping knowledge or experience with accounting software (QuickBooks, FreshBooks, etc.).
- Proficiency with online platforms and tools, such as Google Workspace, Microsoft Office, and tuition management systems.
- Strong organizational and multitasking skills with an ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- A positive, friendly attitude and a passion for working with children and families.
Preferred Qualifications
- Experience in nonprofit or educational administration is a plus.
- Familiarity with fundraising software and online donation platforms.
- Ability to manage social media accounts for the school.
