Office Coordinator

Location: Wrentham, MA
Full-Time | Monday-Friday, 8:00-4:30 | In-Person

Colonial Fence Co. is seeking a highly organized, motivated, and dependable Office Coordinator to become an integral part of our growing team. This role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, and takes pride in keeping an office running efficiently.

As the first point of contact for many of our customers, you'll play a key role in delivering exceptional customer service while supporting our sales and operations teams through scheduling, invoicing, and daily administrative functions.

Responsibilities
  • Answer incoming phone calls and assist customers professionally and courteously
  • Schedule appointments, estimates, and installation dates
  • Create and process customer invoices and maintain accurate records
  • Coordinate daily office operations and support project scheduling
  • Communicate with customers regarding appointments, payments, and project updates
  • Maintain organized digital and physical filing systems
  • Assist with general administrative tasks and office support
  • Collaborate with the sales and production teams to ensure projects move smoothly from start to finish
  • Identify and resolve issues proactively while maintaining a high level of organization
  • Perform other administrative duties as needed
  • Track KPI's and create specialized reports

Preferred Qualifications
  • Previous office administration or customer service experience
  • Experience with scheduling, invoicing, or accounts receivable
  • Strong computer skills, including Microsoft Office and Google Workspace
  • Experience in the construction, home services, or manufacturing industry is a plus, but not required
