Neurotech Pharmaceuticals is an innovative biopharmaceutical company located in Cumberland, RI and Needham, MA, within the realm of Greater Boston’s vast biotechnology landscape. Since our inception more than 20 years ago, we have been developing a proprietary drug delivery platform for treatment of a variety of retinal disorders. Our drug delivery platform - Encapsulated Cell Technology (ECT) - is designed to deliver genetically modified therapeutics to slow the progression of chronic retinal diseases. Our most advanced program is delivering a neurotrophic factor to treat the orphan disease Macular Telangiectasia Type 2 (MacTel).
We are seeking a seasoned Administrative Assistant who will provide comprehensive administrative support to Commercial team, ensuring smooth and efficient operations within the company. This role requires a detail-oriented individual with exceptional organizational skills and the ability to handle confidential information with discretion. An understanding of the Commercial department and biopharmaceutical industry would be helpful.
This is an hybrid role in Needham, MA. Remote days should coordinate with people supported.

Job RequirementsAdministrative Support
- Manage executives’ calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Coordinate and facilitate communication between executives and internal/external stakeholders.
- Organize and maintain electronic and physical files, ensuring easy access and confidentiality.
- Monthly completion of executives’ expense reports.
- Attend meetings as requested to keep meeting minutes.
Meeting and Event Coordination
- Plan, coordinate, and execute internal and external meetings, including logistics, agenda preparation, and follow-up.
Travel Management
- Arrange complex domestic and international travel itineraries, including flights, accommodations, and transportation.
- Prepare detailed travel itineraries and assist with travel-related documentation.
Project Assistance
- Support executives in various projects, including research, data analysis, and tracking project milestones.
- Collaborate with cross-functional teams to ensure timely completion of projects and initiatives.
Office Management
- Oversee office supplies and equipment, ensuring availability and functionality by coordinating with purchasing and IT.
- Keep kitchen and office supplies stocked and available for employees and visitors.
- Coordinate with facilities management for office maintenance and repairs.
- Package and Mail receipt and disbursement.
- Management of office visitors.
Education & Experience
- Minimum of 5 years of experience in an administrative role, preferably in the biopharmaceutical or healthcare industry.
Knowledge, Skills & Abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent organizational and time-management skills with a keen attention to detail.
- Strong written and verbal communication skills.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Discretion and professionalism in handling confidential information.
- Familiarity with biopharmaceutical terminology and processes is advantageous.
- May require extended hours or availability outside of standard business hours to accommodate executive schedules.
