HR Event Coordinator

Proclinical is seeking an HR Event Coordinator to support the planning, coordination, and execution of Learning & Development (L&D) events.
Primary Responsibilities:
In this role, you will collaborate with program owners, HR partners, facilitators, vendors, and participants to ensure seamless delivery of high-quality learning experiences. This position requires a proactive and organized individual who thrives in a dynamic environment.

- Strong organizational skills with the ability to manage multiple priorities effectively.
- Excellent written and verbal communication skills with a customer-focused approach.
- Proficiency in scheduling tools and virtual meeting technologies (e.g., Zoom, Teams).
- A proactive problem-solver who thrives in a collaborative team environment.
- Relevant educational background or equivalent professional experience.
- Experience in event coordination, HR, or administrative support, preferably in a fast-paced environment.
The HR Event Coordinator's responsibilities will be:
- Plan and coordinate L&D events, including flagship programs for people manager development, ensuring smooth logistics from pre-planning to post-event follow-up.
- Manage scheduling and calendars across multiple time zones, securing facilitators, venues, and participant availability while resolving conflicts.
- Support onsite and virtual event logistics, including room setup, materials preparation, technology support, catering, participant check-in, and vendor coordination.
- Provide clear and timely communication before, during, and after each event.
- Maintain accurate records such as attendance rosters, registration lists, feedback surveys, and program documentation.
- Monitor registration and capacity, identifying sessions requiring additional communication, resources, or scheduling adjustments.
- Collect and share post-event feedback to evaluate program effectiveness and contribute to continuous improvement.
- Assist with other HR projects, events, and initiatives to enhance the employer brand and employee experience as needed.
Compensation:
- $35 to $40 per hour.
