Position Type: Full-Time Position Summary Boston's Bridge to Excellence (BBTE) is seeking a professional, organized, and customer-focused EEC Administrative Assistant to provide daily on-site administrative and operational support for an assigned EEC-licensed preschool and school-age program. This position serves as the primary front office administrator, supporting program operations, family engagement, attendance, licensing compliance, and daily site functions while ensuring compliance with Massachusetts EEC regulations. Essential Responsibilities
- Provide daily administrative and operational support for an assigned EEC-licensed program.
- Support the daily oversight of preschool and school-age programming to ensure smooth operations and compliance with EEC regulations.
- Monitor classroom schedules, transitions, staffing coverage, and daily program flow, communicating operational needs to the Program Administrator.
- Welcome children, families, staff, and visitors with exceptional customer service.
- Answer the main entrance, verify visitors, and follow all security procedures.
- Greet families during morning arrival and afternoon dismissal, ensuring safe check-in and authorized child release.
- Monitor and maintain daily attendance, documenting arrivals, absences, late arrivals, and dismissals.
- Answer phones, emails, and front office inquiries while assisting families with enrollment, schedules, and program information.
- Maintain confidential child, family, staff, and licensing records.
- Assist with enrollment, registration, tuition records, and family communications.
- Prepare and upload required licensing documents into LEAD and other EEC systems.
- Track staff BRC clearances, CPR/First Aid certifications, required trainings, and professional development.
- Support EEC licensing visits, monitoring reviews, and compliance documentation.
- Coordinate calendars, meetings, reports, correspondence, office supplies, and administrative records.
- Assist with payroll documentation, staff scheduling, special events, and family engagement activities.
- Ensure visitor sign-in procedures and front office security protocols are consistently followed.
- Perform other duties assigned by the Program Administrator.
- Associate's degree preferred; equivalent experience considered.
- Minimum two years of administrative experience; experience in early education, childcare, schools, or nonprofit organizations preferred.
- Knowledge of Massachusetts EEC regulations preferred.
- Proficiency with Microsoft Office, Google Workspace, and database systems.
- Excellent organizational, communication, customer service, and multitasking skills.
- Ability to maintain confidentiality and professionalism.
- Successfully complete all Massachusetts EEC Background Record Check (BRC) requirements.
- Ability to work collaboratively with administrators, educators, children, and families.
- Reliable transportation with flexibility to travel between BBTE locations as needed.
