Director of Facilities

The Winsor School is an independent girls' school for academically promising and motivated students in grades five through twelve , located in Boston’s Longwood/Fenway area. Founded in 1886 by Mary Pickard Winsor, it began as a small school of eight girls and has grown over more than a century into a vibrant, city-centered institution drawing students from throughout the Greater Boston region.
The Director will be responsible for the oversight of the school’s facilities operations, physical plant, security, janitorial, fleet vehicles and event operations including maintenance of all buildings, grounds, athletic fields, vehicles, and other components. In addition, the Director will supervise the facilities team to provide operational and logistical support for the school as it relates to the maintenance and operation of the facilities and physical plant. principal duties & responsibilities:
- Planning building maintenance and operational programs
- Ensure the efficiency of all building systems
- Design, manage and coordinate site safety programs
- Manage facilities planning and space allocation
- Manage maintenance of grounds
- Ensure all utility systems are inspected and in accordance with regulations
- Manage all building security activities
- Manage all maintenance issues and schedules
- Manage capital projects from inception through completion
- Manage all governmental and regulatory documentation
- Prepare reports and forecasts for school administration
- Hire, schedule, and supervise all facilities staff at the school. Responsible for department
- personnel management, including performance evaluation, salary administration, training
- and development, promotion and discipline.
- In conjunction with the Chief Operating Officer and Director of Finance;
- Participate in facilities project cost estimates, budget, and project management.
- Create an annual facilities operating budget and capital renewal (PPRRSM) budget for capital project improvements and timelines.
- Establish and execute programs for the provision of the capital, including negotiating the procurement of capital and maintaining the required financial arrangements.
- Create and implement a strategic facilities plan for overall maintenance and upkeep of campus facilities.
- Oversee facility capital projects and improvements to ensure that they are completed as planned and in accordance with budgetary approvals.
- Oversee the capital reserves to ensure that it is deployed to meet the strategic needs
- of the institution.
- Coordinate the long-term plans, assess the financial requirements implicit in these
- plans and develop alternative ways in which financial requirements can be satisfied.
- Manage all campus environmental health and safety activities
- Meets and confers with all public safety entities (fire, police, health) to ensure
- compliance with codes and regulations.
- Provide oversight that includes the following:
- Ensure compliance with applicable local, state and federal regulations regarding
- building operations.
- Maintain positive relations/communication with the public, City of Boston, and
- abutters.
- Review and evaluate current operating procedures and personnel practices and
- establish as necessary procedures, training, practices, and priorities to ensure
effective, safe operations and managing cost factors. - Review and evaluate equipment, tool, and technology needs and make
- recommendations to maintain efficient, safe, and effective operations.
- Oversee and implement Risk Management and Emergency Preparedness Programs,
- member of Core Crisis Team.
- Develop, maintain, and manage competitive relationships with outside vendors,
- including but not limited to contractors, electrical, plumbing, and HVAC.
- Plan and implement preventive maintenance scheduling involving both internal
- personnel and contracted services and act as General Contractor when outside
contracted services are required. - Confer with specialists on energy conservation programs and techniques for
- operations and recommend operating methods and equipment to maximize cost
savings, service quality, and safety. - Review and confirm project schedules to ensure alignment with school daily
- operations and rental groups.
- Contribute to the proper design and equipment selection from the point of view
- of maintainability, safety etc.
- Ensures attendance of the facilities staff of any new mechanical or safety system
- training sessions offered by the equipment installers and suppliers. Minimum of 15 years of progressively responsible facilities maintenance and operations experience, at least 8 of which have been in a supervisory capacity, including project/program budget preparation and monitoring, contract administration, and employee supervision.
- Bachelor's degree in a relevant field such as facility management, business administration, engineering, or construction management. Master’s degree preferred.
- Massachusetts Unrestricted Construction Supervisor’s License
- Combination of training, education, and experience that is equivalent to the above will be considered.
- Leadership and problem-solving ability
- Strong sense of urgency and good organization, communication, and computer skills.
- Working knowledge of the construction trades, including electrical, plumbing, HVAC,
- carpentry and a thorough understanding of facilities maintenance codes for each trade.
- Must have significant experience in working within or adjacent to occupied spaces.
- Demonstrated ability to read and evaluate architectural/mechanical design and construction drawings.
- Proven ability to manage relationships with tradespersons, municipal building departments, architects and senior managers.
- Superior leadership experience, particularly in cultivating high-performing teams, and in
- developing and maintaining excellent relations with staff, providers and vendors.
- Ability to manage many projects at one time and meet deadlines/schedules and achieve
- goals under pressure.
- Evidence of effective interpersonal skills, including tact, diplomacy, and flexibility to work with the campus community.
- Knowledge of:
- Maintenance and preventive methods and procedures used in keeping buildings in
- clean and orderly condition and in maintaining and repairing utility systems and
physical structures of buildings. - Budgeting and fiscal management
- Effective business practices to prepare bid specification, negotiate agreements, and
- administer contracts
- Program planning and scheduling
- Building construction methods and materials
- Estimating practices to ensure adherence to legal compliance and safety practices.
- Facilities and maintenance software required, including but not limited to, Microsoft
- Office and School Dude and payroll software.
- This position requires a willingness to work flexible hours as needed, including evening/weekend hours, working during inclement weather, and being on-call 24 hours/day.
