Position Title: Donor Events Manager

Position Classification: Regular, Exempt/ Full-Time; 40 Hours/Week

Reports To: Associate Director, Donor Experience

Location: Employees in this role can work from our Boston, MA office, remotely within the U.S. or a hybrid of these two options. 5% domestic travel may be expected.

Position Overview:

The Donor Events Manager is responsible for leading, designing, and executing a wide range of donor events—from highly curated dinners to large-scale celebrations and virtual gatherings—as a member of the Donor Engagement team on the Resource Generation Branch. Reporting to the Associate Director of Donor Experience, the Manager works closely with the Associate Director on program design and is responsible for ensuring seamless event planning, execution, and follow-up, while overseeing staff and vendors responsible for all event logistics. This role requires exceptional project management and the ability to lead across internal teams and external partners, with the overarching goal of strengthening relationships with donors, stakeholders, and partners through first-rate events that uphold Partners In Health’s (PIH) brand and support the revenue generation strategy for the organization.


Responsibilities

Event Management (70%)

  • Develops comprehensive event execution plans that support overall event goals and desired outcomes, integrating stakeholders across teams in a thoughtful manner and ensuring event plans incorporate best practices in event management, logistics, and attendee engagement.
  • Manages event execution plans. Activities include: project and stakeholder management throughout the entire event lifecycle; developing and managing communication streams; serving as an internal and external point of contact; managing budget, invoices, and deadlines; designing materials (invitations, promotional materials); reviewing invitations, emails, and all copy sent to invitees, speakers, and external hosts; problem solving when issues arise; leading day-of execution, and supporting event follow-up.
  • Trains and oversees activities of Resource Generation Branch Coordinators on events to ensure they are able to effectively carry out their event-related tasks, which include venue search, invitation list management, mailing of event invitations, tracking RSVPs, producing materials for events (nametags, registration list, materials), coordinating travel for staff, assisting with invoice management and reimbursements, updating database, developing event materials and other tasks as required.
  • Provides high-level support for events led by the Associate Director of Donor Experience and works closely with Associate Director to develop new and innovative tools for event strategies.
  • Stays up-to-date on best practices for project management and event inclusivity and works with the Associate Director to implement tools and strategies accordingly.
  • As needed, travels to execute events in person.

Program Design (25%)

  • Works closely with the Associate Director in the conceptualization and design of donor events tailored to target audiences, ensuring alignment with PIH’s mission, priorities, and brand.
  • Builds, implements, and refines templates, tools, and processes that scaffold event planning to maximize efficiencies, collaboration, and effective communication in project management.
  • Develops, implements, and continuously improves database systems and reporting tools to track event KPIs and guide strategic decision-making.

Team Support (5%)

  • Provides insight and input on fiscal year strategy and planning.
  • Leads on special projects that may arise.
  • Provides support to the overall donor engagement team when needed, assisting in site visit execution as aligns with event planning, integration with collateral design as needed, etc.

Qualifications:

  • 5 years of non-profit events experience or related work.
  • Ability to work independently, to handle competing priorities with a keen attention to detail, and to manage the planning of multiple events simultaneously, meeting deadlines while maintaining a high level of organization and flexibility.
  • Demonstrated program design capabilities, with an eye toward maximizing customer experience, prioritizing budgets and deadlines, creating efficiencies, effective communication and collaboration, and a standardization of tools and templates.
  • Solid computer and database skills.
  • Preferred : Microsoft Excel, PowerPoint, and Word. Experience in Salesforce, Blackthorn, Hubspot, Asana, InDesign, and Photoshop a plus.

Pay and Benefits

The expected starting salary range for new hires in this position is between $70,000-80,000/year and may vary depending on multiple individualized factors, including market for the position, job-related knowledge, skills, and experience. The position belongs to a class of roles that have a salary range between $70,000 and $95,000/year. Subject to the terms and conditions of the applicable plans then
