The Administrative Assistant role, an in-office full-time position at our Braintree location , supports the efficient operation of the Marketing's office and departmental functions. Ensuring accuracy, organization, and timely communication. The role requires strong organizational skills, attention to detail, and a commitment to excellent customer service.
This role is a full-time role at 40 hours per week. This position is not remote/hybrid eligible.
Essential Functions:
- Respond promptly and professionally to client and internal inquiries.
- Research and resolve issues using available tools and resources.
- Collaborate across departments to drive resolutions and process improvements.
- Support project coordination, data entry, and document management.
- Assist with project planning, scheduling, and logistics.
- Maintain project trackers and facilitate stakeholder communication.
- Develop and update departmental procedures and documentation.
- Provide general administrative and operational support as needed.
- Serve as a liaison between internal teams, vendors, and external partners.
- Assign cases to Community Liaison's as appropriate to ensure timely follow-up and coordination of services.
- Manage the procurement and inventory of all giveaway and promotional items for the Marketing team.
- Maintain accurate and up-to-date records of Marketing activities and ensure timely reporting of key performance data.
- Support the Senior Director of Marketing with planning and scheduling Marketing events.
- Foster culture of customer service and commitment to quality care.
- Serve as a brand ambassador for VITRA reflecting our vision, mission, and values.
- Show genuine interest and compassion and commitment to the diversity of our clients and team members.
- Other duties as assigned.
Education, Experience and Licensure Requirements :
- Fluency in both Spanish and English required.
- College Degree preferred, High school diploma or GED required.
- Minimum of 3-5 years of administrative experience required.
- Strong organizational, multitasking, and problem-solving skills.
- Excellent written and verbal communication abilities.
- Experience with administrative coordination preferred.
- Strong communication, documentation, and organizational skills are required.
- Must be solution oriented and be able to multitask.
Physical and Environmental Demands:
- Works in a clean, well-lit environment with fluctuating temperatures in close proximity to others.
- Requires substantial periods of repetitive work utilizing a computer, monitor, keyboard, and mouse.
- Requires lifting and carrying equipment and supplies weighing up to 35 pounds; require pushing and pulling equipment and supplies weighing up to 35 pounds; require walking and standing; requires frequent sitting more than 75% of the workday; requires the ability to navigate stairs; requires visual acuity and manual dexterity to operate equipment.
