Job Summary:
Darwin Trust Company is looking for a Trust Officer Assistant to support one or more Trust Officers in the management of trust accounts. They will perform a variety of administrative duties while establishing and maintaining effective client communication and relationship management. This individual should have a desire to eventually grow into an Associate Trust Officer or a Trust Officer role.
Job Role/Responsibilities:
- Performs account administrative functions and customer service requirements (such as new/closed account administration, asset collection, estate settlement, real estate, and personal property) under law, regulation, policies, and governing agreements
- Develops and maintains new and existing client relationships both internally and externally to ensure client needs are met and exceeded
- Performs other operational duties as assigned by management
- Provide support to the Trust Officers to accept client instructions and questions and respond directly to clients as needed
- Document management:
- Establish and maintain account files to retain various documents
- Scan and index account files electronically
- Assist in the preparation and completion of account reviews
- Prepare requests to initiate receipts and disbursements for approval and posting: checks, ACH, and wires
- Assist with processing discretionary distribution requests for trust accounts
- Assist with the filing of tax returns, tax payments and tax refunds
- Assist in the administration of estates: gather, secure, inventory, value, report and dispose of estate assets
- Assist with gathering account files and information for regulatory audits and exams
- Aid Trust Officers with administrative responsibilities, such as answering phones, filing and preparation of documents
- Assist in completion of new account related activities, such as account openings, preparation of account documents, CIP compliance, and various other activities
- Prepare account review packets for monthly meeting of the trust and investment committee
- Assist Trust Officers in handling of special assets including personal property
- Perform any other related duties as required or assigned
- Other duties as assigned
Requirments:
- BS/BA or equivalent work experience
- 1-3 years of work experience, ideally in trust administration or financial services
