POSITION TITLE: Post-Grant - Accountant Ill (part-time)
DEPARTMENT: Grants/ Administration & Finance
REPORTS TO: Director, Post Grant Administration
POSITION STATUS: This is a part-time, non-benefited position not to exceed 18.5 hours per week.
LOCATION: Fall River
SALARY: $32.31/hr
STATEMENT OF DUTIES:
The Post-Grant Assistant performs grant accounting functions for federal, state, local, and private grants received by Bristol Community College. Responsibilities include, but are not limited to, assisting supervisors in monitoring compliance and spending, running required reports, analyzing budgets, and forecasting grants.
ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:
- Monitor and track the status of each grant through its life cycle.
- Review incoming awards, prepare financial reports, and identify variances within the grant award.
- Analyze, review, and process accounting reports, expenditure requests, time sheets, and other related fiscal reports and forms.
- Maintain grant documentation, including regular filing and physical record retention
- Prepare expenditure documentation for internal approval, including printing, collating and packaging of documents
- Provide monthly progress reports and spending forecast to grant managers.
- Assist with the preparation of external reports for federal, state, and private grants.
- Evaluate requests for additional allotments and/or transfers of funds within grant account budget lines.
- Gather information and assist with fiscal reporting and analysis for annual audit and A-133 audit.
- Assist in the preparation of meeting with agency monitors and auditors as needed.
- Assist and support supervisor in the preparation of year-end grant management reports (i.e., auditor's reports, indirect costs, and division summaries) for submission to college leadership.
- Assist in mainlining and regularly updating informational reports, including but not limited to, grant listing, employee salary, and payroll contract reports.
- Interpret state and federal laws, regulations, guidelines, and procedures for financial operations and accounting systems.
- Assist in reviewing policies and procures of grant agencies with cost center directors to ensure adherence to applicable laws, rules, and regulations.
- Confer with cost center directors and grant agency accountants to explain state/agency rules, polices and accounting procedures governing payment, invoicing, and related financial transactions.
- Prepare complex general ledger entries and account reconciliations.
- Exercise independent judgement in performing accounting transactions.
- Prepare adjusting journal entries and payroll funding adjustments.
- Prepare grant set up and maintain grant portfolio.
- Apply best practices for grant accounting throughout all job functions.

Requirements:
REQUIRED QUALIFICATIONS:
Applicants must have at least (A) three years of full-time, or equivalent part-time, professional experience in accounting or auditing, of which at least (B) one year must have been in a supervisory, administrative or managerial capacity, or (C) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. An Associate's degree with a major in accounting, business administration or business management may be substituted for a maximum of one year of the required (A) experience.*
II. A Bachelor's degree with a major in accounting, business administration or business management may be substituted for a maximum of two years of the required (A) experience.*
III. A Graduate degree with a major in accounting, business administration or business management may be substituted for the required experience.*
*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
NOTE: Unless otherwise noted, all required qualifications must be met by date of hire.

- Demonstrated proficiency with Microsoft Office 365 applications.
- Demonstrated experience in the setting up, organizing, filing and maintenance of records
- The ability to work effectively with a diverse student body, faculty, and staff.
ADDITIONAL REQUIRED QUALIFICATIONS:
- The principles and practices of accounting including terminology.
- The methods of general report and grant writing, including Microsoft Excel and Word skills.
- Analyze and determine the applicability of accounting data, draw conclusions and make appropriate recommendations.
- Understand, apply, and explain the laws, rules, regulations, policies, procedures, etc. governing assigned unit activities.
- Exercise discretion in handling confidential information.
- The ability to work effectively with a diverse student body, faculty, and staff.
PREFERRED QUALIFICATIONS:
- Minimum of an associate's degree in accounting or a related field.
- Minimum of 5 years of experience in accounting/grants.
- Demonstrated advanced proficiency in using Microsoft Office 365 applications, including Word, Excel, and Access.
- Proven ability to multitask, manage competing projects, meet deadlines, and adapt to organizational change.
- Working knowledge of software applications, including but not limited to Banner.
- Robust understanding and demonstrated inclusion of best practices focused on access, equity, student success, and high impact practices.
- Experience in federal and/or state grant funded accounting.
- Ability to communicate in a language in addition to English.
