Full Charge Bookkeeper

A high-energy real estate firm in Stoneham is seeking a sharp Full-Charge Bookkeeper to be the financial heartbeat of their growing portfolio. You’ll juggle 30+ bank accounts and 32 LLCs across New England, handling everything from high-volume checks to a smooth weekly "funding" rhythm. Responsibilities

Key Responsibilities

Daily Operations

• Log into all 30 bank accounts to review activity and reconcile every QuickBooks file daily.
• Update the "Money In," "Money Out," and "Rent Roll" tabs within the current week’s digital folder.
• Review emails, print invoices, and address immediate issues.
• Maintain and modify the Chart of Accounts and memorized reports to improve efficiency.

Weekly Financial Cycle

• Monday (Payroll): Calculate time for 17 employees using Time Clock Wizard, update the Payroll Summary Master Report, and prepare general journal entries after Annie’s review.
• Wednesday (Funding): Prepare AP reports and funding sheets. Execute ACH transfers, wires, and post issued checks into Positive Pay via Rockland Trust to prevent fraud. Staple check stubs to invoices for filing.

Thursday (The Workbook): Tie out all deposits to the Cash Balance Report. Assemble the physical weekly "Book" containing bank statements (with highlighted activity), rent rolls, and check registers.

Qualifications

• Experience: Proven background in Real Estate bookkeeping is highly preferred. Must be comfortable managing security deposits and complex P&L reports.
• Software Proficiency: Recent, advanced experience with QuickBooks Online and QuickBooks Desktop is required. Experience with Time Clock Wizard and Positive Pay is a plus.

Ideal Skills: Familiarity with RentReady (or AppFolio) and Zescrow is a significant plus, though training will be provided for the right candidate.
