Assistant to the Vice President of Finance and Administration
- Anticipate and provide for the immediate and long-term administrative and organizational needs of the Finance and Administration Office.
- Support leadership's daily activities: schedule meetings, manage calendars, organize preparatory materials for meetings, and follow up on appropriate action items.
- Partner and collaborate with other administrative support staff from across the College on the scheduling and planning of senior-level meetings.
- Facilitate leadership's signature on key documents in a timely fashion and ensure their return to appropriate departments.
- Build framework of check-in meetings to prepare materials for Board of Trustees Committee meetings.
- Support team preparing materials for Board of Trustees Committee meetings by initiating first drafts, creating templates, proofreading materials, and uploading final materials to the online portal.
- Support Board of Trustees Committee meetings by attending meetings, taking and writing meeting minutes, and shepherding minutes through the review and approval process.
- Manage elements of departmental budget, including opening purchase requisitions, submitting invoices for processing, and creating expense reports on behalf of leadership as needed.
- Provide project planning and communications support for Human Resources
- Provide project planning and support for Finance and Administration Office.
- Assess and identify opportunities to improve various administrative processes.
- Attend and represent F&A office in various organizational settings.
- Handle other administrative responsibilities as assigned.

- Bachelor's degree preferred.
- Minimum 3 years related experience.
- Excellent time-management, organizational and communication skills.
- Experience handling confidential and sensitive information with discretion.
- Strong attention to detail.
- Demonstrated strong professional judgment.
- Ability to work independently and collaborate with others.
- Ability to manage competing and concurrent priorities.
- High degree of flexibility and adaptability.
- Experience with Word, Excel, PowerPoint and Adobe required.
- Knowledge of and/or experience with the Workday ERP system a plus.
