Job Description and Responsibilities
The Production Manager oversees daily operations of the scanning, printing, and document- production department. The PM is the primary contact with clients. This role ensures efficient workflow, high-quality output, accurate project execution, and timely delivery of services. The Production Manager supervises staff, maintains equipment, implements process improvements, and ensures compliance with company standards and client requirements.
Operations Management
- Plan, schedule, and oversee all scanning, printing, copying, and document-binding projects.
- Manage daily production workflow to ensure jobs are accurately written up and completed and on time.
- Final Check on invoice to ensure each accurately reflects the work performed on each project.
- Monitor job queues, prioritize urgent requests, and allocate resources effectively.
- Maintain quality control standards for imaging, print clarity, document formatting, and file integrity.
Team Leadership
- Supervise and support production staff, including training, performance management, and scheduling.
- Provide guidance on best practices for scanning, printing, and finishing tasks.
- Foster a positive, team-oriented production environment.
Equipment & Technology Oversight
- Ensure proper operation, maintenance, and troubleshooting of scanners, printers, copiers, binders, and related equipment.
- Coordinate with vendors for repairs, upgrades, and supply procurement.
- Implement new technology and software solutions to improve efficiency.
Process & Quality Improvement
- Develop and optimize workflows to increase productivity and reduce errors.
- Establish and maintain quality assurance procedures for both digital and physical output.
- Track production metrics and prepare periodic performance reports.
Client & Project Coordination
- Communicate with internal teams and external clients regarding project requirements and timelines.
- Keep clients informed on their project status whether on time or any possible delay.
- Review job tickets for accuracy and ensure all special instructions are met.
- Resolve production issues or client concerns promptly and professionally.
- Respond to client email and phone calls outside of normal business hours.
Compliance & Data Security
- Ensure secure handling of sensitive documents and adherence to confidentiality protocols.
- Follow company policies regarding records management and document retention.
- Remove any data for printing or scanning from the environment outside of data retention policies for production data.
Qualifications:
- 3–5+ years of experience in a print production, document services, or scanning operations environment.
- Prior supervisory or management experience preferred.
- Strong understanding of high-volume scanning, digital imaging workflows, and commercial printing processes.
- Proficiency with production software, print controllers, and document-management systems.
- Excellent organizational, communication, and problem-solving skills.
- Ability to manage multiple projects in a fast-paced environment.
- Ability to work weekends and outside normal business hours when needed.
Physical Requirements:
- Ability to stand for extended periods, lift up to 30–40 lbs, and operate production equipment safely.
