Executive Assistant

Whoop
Boston, MA

Job Description

Job Description

WHOOP is on a mission to unlock human performance and healthspan. This role sits at the center of that mission, ensuring our executives operate at maximum leverage. You will go beyond traditional administrative support by building systems, using AI tools, and proactively driving execution across priorities.

RESPONSIBILITIES:

  • Own and optimize complex, fast-moving calendars across two executives, ensuring alignment to priorities and proactively resolving conflicts
  • Coordinate domestic and international travel end-to-end, including detailed itineraries and seamless execution
  • Manage high-volume inbound communication across email, Slack, and other channels with strong prioritization and judgment
  • Prepare executives for meetings by assembling context, materials, and clear objectives; capture notes, track decisions, and ensure follow-through
  • Build and continuously improve systems that increase executive leverage, including AI-enabled workflows for scheduling, communication, and task management
  • Identify opportunities to automate or streamline repetitive work, using AI tools and agents to meaningfully expand capacity
  • Draft, edit, and refine communications with speed and clarity, leveraging AI where appropriate
  • Partner cross-functionally to drive execution on key initiatives, ensuring stakeholders are aligned and deadlines are met
  • Manage operational processes such as expenses, approvals, and documentation with accuracy and efficiency
  • Support team events, offsites, and company initiatives as needed
  • Operate with high ownership, stepping into both tactical execution and broader problem-solving as needed
  • Own the integrity, security, and confidentiality of executive information across all systems, communications, and workflows
QUALIFICATIONS:

  • 5+ years supporting senior executives, ideally supporting multiple leaders simultaneously in a fast-paced environment
  • Demonstrated ability to anticipate needs, exercise strong judgment, and drive outcomes with minimal direction
  • Proven track record of building or improving systems, not just maintaining them
  • Fluency with AI tools (e.g., ChatGPT, automation tools, workflow builders) and a mindset of using them to increase speed and scale
  • Exceptional organizational skills with the ability to manage multiple priorities without sacrificing quality
  • Strong written and verbal communication skills, with the ability to draft executive-level communications
  • High level of discretion, professionalism, and integrity
  • Comfort with tools such as Google Workspace, Ramp, Slack, Notion, Airtable, and the ability to quickly learn new systems
  • Bias for action and a willingness to operate across a wide range of responsibilities, from tactical to strategic
  • Based in Boston with in-office presence Monday through Thursday

This role is based in the WHOOP office located in Boston, MA. The successful candidate must be prepared to relocate if necessary to work out of the Boston, MA office.

Interested in the role, but don’t meet every qualification? We encourage you to still apply! At WHOOP, we believe there is much more to a candidate than what is written on paper, and we value character as much as experience. As we continue to build a diverse and inclusive environment, we encourage anyone who is interested in this role to apply.

WHOOP is an Equal Opportunity Employer and participates in E-verify to determine employment eligibility. It is unlawful in Massachusetts to require or administer a lie detector test as a condition of employment or continued employment. An employer who violates this law shall be subject to criminal penalties and civil liability.

The WHOOP compensation philosophy is designed to attract, motivate, and retain exceptional talent by offering competitive base salaries, meaningful equity, and consistent pay practices that reflect our mission and core values.

At WHOOP, we view total compensation as the combination of base salary, equity, and benefits, with equity serving as a key differentiator that aligns our employees with the long-term success of the company and allows every member of our corporate team to own part of WHOOP and share in the company’s long-term growth and success.

The U.S. base salary range for this full-time position is $100,000 - $140,000. Salary ranges are determined by role, level, and location. Within each range, individual pay is based on factors such as job-related skills, experience, performance, and relevant education or training.

In addition to the base salary, the successful candidate will also receive benefits and a generous equity package.

These ranges may be modified in the future to reflect evolving market conditions and organizational needs. While most offers will typically fall toward the starting point of the range, total compensation will depend on the candidate’s specific qualifications, expertise, and alignment with the role’s requirements.
