We here at Northeast Automatic Sprinkler have served a distinguished list of customers including some of the largest, most successful, and highly respected general contractors and property managers in the Greater Boston surrounding areas. Family leadership (third generation) has helped us retain a team of expert sprinkler fitters, designers, sales/project managers, administrative staff, and fabrication shop staff, most with years or in many cases, decades, of service with us. We are currently seeking a reliable, trustworthy, detail-oriented Administrative Assistant who enjoys keeping things organized to join our team. This is a full-time position - 40 hours a week - Monday-Friday. Our office is casual, connected, and upbeat, and is comprised of a special group of people - finding the right match is very important to us.
Position Summary:
This position is in our Human Resources/Business Operations department, and the person in this role will be responsible for helping to ensure the efficient operation of the department by providing essential support and managing a variety of administrative functions. The ideal candidate will be highly organized and detail-oriented, as well as have the ability to multitask and manage multiple priorities while working in a fast-paced environment without compromising quality or accuracy.
Key Responsibilities include but are not limited to:
- Answering the company phones in a bright and cheerful manner, keeping focused on the caller, and routing the call to the appropriate person.
- General administrative duties such as copying, scanning, filing, word processing, spreadsheet creation and maintenance, data entry, fillable form creation, and other clerical tasks.
- Organizing, prioritizing, processing, and maintaining large volumes of information using various computer systems and applications, as well as paper filing systems.
- Working collaboratively with other members of the Northeast team regarding day-to-day issues as well as on various projects and initiatives.
- Responding to emails and other requests quickly - responsiveness is very important to us.
- Ordering various office supplies and facilitating the maintenance of an orderly office environment.
- Assisting with company apparel - organization, inventory, and distribution.
- Identifying opportunities for efficiency improvements and assisting in creating and implementing solutions.
This list of Key Responsibilities is not all-inclusive and will continue to evolve over time, and as such, other duties may be assigned to meet the ongoing needs of the company and the career goals of the employee.
Qualifications:
- Strong organizational and follow-up skills.
- Extremely detail-oriented, with strong proofreading skills.
- Ability to proactively prioritize and juggle multiple competing tasks and demands, which may include handling highly sensitive information, with strict attention to detail, while maintaining organization and accuracy, as well as confidentiality and discretion.
- Ability to maintain detailed statistics and records - strong mathematical skills.
- Tech savvy - Proficiency with a wide variety of computer applications such as word processing, spreadsheets, Adobe, etc…
- Ability to communicate effectively via telephone, email, text, and video conferencing.
- Excellent interpersonal communication skills, and the ability to maintain a cooperative manner and positive attitude while working under pressure.
- Ability to effectively deal with those inside and outside of the organization with a high level of patience, tact, diplomacy, and equanimity.
- Ability to apply common sense and understanding to carry out instructions furnished in written and/or oral form.
- Ability to work independently as well as part of a team, and to also get along with a variety of different personality types, and help to maintain an efficient and conflict-free work environment.
- A personality that is energetic, pro-active, approachable and friendly, and professional.
- A “team player” attitude.
- Background demonstrating extraordinary work ethic, dependability, and reliability.
- History of building trust and maintaining confidentiality.
- A willingness to learn.
- High school diploma or equivalent.
- 2 years administrative experience in a fast-paced setting.
