Assistant Town Clerk
Job Overview
The Assistant Town Clerk supports the Town Clerk in managing the daily operations of the Town Clerk’s Office, including maintaining official municipal records, administering elections, issuing licenses and official documents, and providing information to the public and town departments. The position also provides administrative and operational support to the Town Manager’s Office, assisting with public communications, and general office administration. The Assistant Town Clerk performs all statutory duties of the Town Clerk in their absence and carries out related responsibilities as required.
Duties
- Performs a wide range of statutory, administrative, and operational duties to support the operations of the Town Clerk’s Office and Select Board.
- Maintains official municipal records in accordance with General Laws and records retention requirements.
- Posts public meeting notices, agendas, and minutes in compliance with the Open Meeting Law.
- Assists in the administration of all federal, state, and local elections in accordance with Massachusetts General Laws and regulations of the Secretary of the Commonwealth.
- Processes voter registrations, updates, removals, and list maintenance within the State Voter Registration Information System (VRIS).
- Attends Select Board meetings as assigned (generally one meeting per month) and prepares and maintains official minutes for all Select Board meetings.
- Supports the Town Clerk and Select Board with the issuance, renewal, and record maintenance of municipal licenses and permits, including business certificates, dog licenses, raffle permits, liquor licenses, and other licenses regulated under Massachusetts General Laws.
- Prepares and issues certified copies of vital records and responds to public inquiries, genealogy research requests, and interdepartmental verification requests.
Qualifications:
- High school diploma or equivalent
- Minimum of three (3) years of related administrative or municipal experience; or any equivalent combination of education, training, certification, and experience demonstrating the ability to perform the position’s responsibilities.
- Prior municipal experience is highly desirable. Candidates who demonstrate strong initiative, the ability to learn complex statutory processes quickly, and a commitment to public service are encouraged to apply.
