We are seeking a highly organized and proactive Office Manager to oversee daily operations within our office. The ideal candidate will possess strong administrative, managerial, and communication skills, with experience in office management. This role requires a versatile individual capable of handling a variety of tasks to ensure smooth office functioning and effective team coordination. Accounting/bookkeeping experience is a must.
Core Responsibilities
- Financial Management: Processing invoices, managing accounts payable/receivable (AP/AR), AIA billing, running payroll, preparing sales and financial reports, management of union benefit reports and issuing insurance certificates.
- Customer Relations: Handling inbound inquiries, resolving complaints, and maintaining long-term client relationships.
- Inventory & Procurement: Ordering office supplies.
- HR & Compliance: Overseeing new hires, onboarding and ensuring adherence to company safety program.
Essential Qualifications
- Experience: 2–5 years of office management, ideally within the plumbing or construction industry and accounting/bookkeeping knowledge.
- Technical Skills: Must be proficient in QuickBooks, Excel and Microsoft Office Suite.
- Industry Knowledge: Basic familiarity with construction terminology and procedures.
- Soft Skills: Must be dependable, detail oriented and organized.
Salary
- Pay Range: $45,000 to $55,000+ annually, based upon experience.
- Full time: Monday-Friday 8:00 a.m. – 4:30 p.m.
