Event Specialist The Role
We are seeking a motivated and detail-oriented Event Specialist to join our Marketing team, reporting to the Brand & Events Manager. This is an exciting opportunity for someone early in their events career who is eager to get hands-on experience across the full event lifecycle, from trade shows and conferences to webinars and internal events.
The ideal candidate is highly organized, thrives in a fast-paced environment, and brings a collaborative spirit and genuine enthusiasm for creating experiences that drive awareness, pipeline, and customer engagement.
What You'll Do- Support the planning and execution of 20–40 events per year, including trade shows, industry conferences, sponsored events, customer dinners, webinars, and internal company events.
- Coordinate event logistics end-to-end: including vendor management, shipping, swag, and on-site execution.
- Manage webinar production using platforms such as Zoom, including setup, speaker coordination, run-of-show, and post-event follow-up.
- Collaborate closely with Marketing, Sales, Product Marketing, and Growth Engineering teams to align event programming with campaign goals and business priorities.
- Support pre- and post-event marketing activities, including promotional emails, landing pages, and follow-up sequences in HubSpot.
- Track event performance metrics and contribute to reporting on ROI, pipeline influence, and engagement outcomes.
- Maintain event calendars, project timelines, and internal documentation to keep stakeholders aligned and deadlines on track.
- Support the Brand & Events Manager in developing strategies that serve brand awareness, thought leadership, pipeline generation, and customer retention goals.
- Leverage AI tools to build efficiency into event planning workflows, content drafting, and communications.
- Contribute to broader marketing initiatives as needed, including social media promotion, event-related content, and campaign support.
- Bachelor's degree and 1–3 years of experience in event coordination, marketing, or a related field.
- Strong organizational and project management skills, with the ability to manage multiple events and deadlines simultaneously.
- Excellent written and verbal communication skills, with a keen eye for detail and brand consistency.
- Experience with or strong aptitude for marketing and event platforms, including HubSpot, Zoom, or similar tools.
- Comfortable working cross-functionally with Sales, Product, and Executive teams to align event efforts with business goals.
- Data-driven mindset — able to track event metrics and contribute to performance reporting.
- Ability to manage vendor and supplier relationships
- Willingness to travel occasionally for on-site event support.
- Experience with design tools such as Canva or Adobe Creative Suite for producing event materials and promotional assets.
- Familiarity with AI productivity tools such as Claude to build efficiency into event planning workflows, content drafting, and communications.
- Proven ability to support events that contribute measurably to pipeline or brand metrics.
- Experience in hospitality is a plus.
