Administrative Assistant

_This is a remote position; however, candidates_ **_MUST be based in the U.S._**_, specifically in_ **_Massachusetts_** _or_ **_Connecticut_**_, with a strong preference for those located in Northampton, MA._

**Job Summary:**

The Administrative Assistant, in close cooperation with the Executive Director, internal staff , and partner organizations, will support the daily routine operations of our non‐profit organization. Additional responsibilities include: being proactive about what else can be done to make things go smoothly for other staff and the organization itself.

**Essential Duties and Responsibilities:**

_Mentorship Program (45% of the time):_

* Prepares and executes outreach/publicity for Mentorship Program (2x a year – website, email, FB, LI).
* Updates and edits outreach slide decks/ delivers presentations as needed.
* Coordinates screening processes, including eligibility verification, document tracking, and onboarding.
* Coordinates job-shadowing and construction-site visit logistics for mentorship students (no travel).
* Post opportunities to Slack channel and tracks students field hours.
* Respond to routine prospective student inquires/ keep recent inquiry list updated.

_HERS Rater Trainings and Other Events (25% of the time):_

* Prepare and execute outreach/publicity for HERS Rater Trainings (4x per year) via website, email, Facebook, and LinkedIn.
* Verify mailing addresses, update the database, and coordinate drop-shipping of manuals and Krigger books.
* Distribute food allergy surveys and coordinate catering for the field week of HERS Rater Trainings.
* Send payment reminders, track payments, collect liability waivers, and distribute course evaluation surveys.
* Coordinate logistics for additional events as needed.

_Membership (20% of the time):_

* Coordinate year-end membership renewal drive and July half-off membership drive.
* Track rater lists and payments, maintain accurate database entries, and monitor renewal timelines.
* Support members in updating their information and accessing services through the website.
* Generate additional leads by cross-referencing lists and researching potential membership categories.

_Meeting Participation(10% of the time):_

* Participate in weekly check-ins with the Executive Director and attend regular staff meetings.
* Provide updates on project planning, progress, workflow, and execution.

**Job Qualifications:**

_Education:_

* Bachelor’s degree in a related field or equivalent relevant experience required

_Location:_

* **Remote position, but candidate must be based in MA/CT only; Northampton, MA preferred.**

_Experience:_

* Prior administrative experience required.
* Experience in marketing, video editing, or graphic content creation strongly desired.

_Other Job Knowledge, Skills, Abilities or Certifications:_

* Strong organizational skills with the ability to accurately track details, manage multiple timelines, and prioritize tasks effectively.
* Excellent written communication skills, including proofreading, punctuation, and formatting consistency.
* High attention to detail with accurate data entry and polished, professional content creation.
* Cultural sensitivity and ability to work comfortably with diverse populations (bilingual applicants encouraged to apply).
* Proficiency in Microsoft Office Suite, Teams, Slack, and Outlook required; familiarity with MojoPortal Website platform a plus.

**Physical Requirements:**

* Sitting and computer work for extended periods of time
