Office Manager - Accounting Firm
About Us:
Venning is a full-service CPA and advisory firm founded in 1978 with offices throughout the the US. Venning provides accounting, bookkeeping, tax, assurance, and financial advisory services to individual and corporate clients providing a comprehensive approach to tax and operational complexities. We are seeking a strong administrative professional to manage a local office and support remote operations.
Job Description:
Responsible for providing administrative support for tax and accounting staff, tax return and financial statement administration, management of electronic tax filing, maintaining data systems, and managing vendor relationships and related purchasing.
Looking for a self-starting, organized individual with excellent telephone, customer service, communication and computer skills. Ability to multi-task and pay attention to detail is important.
Key Responsibilities:
- Manage front desk operations, including greeting clients and answering phone calls.
- Oversee tax return processing within our workflow management and status tracking system.
- Schedule appointments and maintain calendars for the CPA team.
- Prepare and organize documents for client meetings and tax filings.
- Assist with data entry and maintain accurate client records in our accounting software (QuickBooks and CCH).
- Handle incoming and outgoing correspondence, including emails and mail.
- Support the team with administrative tasks, such as filing, copying, and scanning documents.
Qualifications:
- High school diploma or equivalent; associate degree preferred.
- 2-3 years of experience in an administrative or office management position, preferably in an accounting, law, or medical setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is required, and familiarity with accounting software is preferred.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to prioritize tasks and work effectively in a fast-paced environment.
