Executive Assistant to Senior Team

About the Executive Assistant role: The Executive Assistant supports the Senior Team with advancing company initiatives and goals. This position attends to the day-to-day functions that are part of the Senior Team's role so that they can focus on the high-level leadership and strategy functions. This is a full-time, exempt position Hours: 40 Work location: In-person In this Executive Assistant role, you'll get to: - Provide administrative support and manage scheduling for Senior Team.
- Attend Senior Team functions, taking minutes and noting action items.
- Organize and prepare for Board of Directors and Committee meetings, including drafting the agenda, gathering meeting materials, and coordinating any logistics of meetings (e.g., ordering food, room set up, prepare IT equipment, etc.).
- Upload and manage relevant folders ensuring documents are properly stored and labeled.
- Draft, review, and distribute communications on behalf of the Senior Team.
- Assist as needed with special projects including but not limited to audits, surveys, and reviews.
- Answer and respond to phone calls, communicate messages and information to the Senior Team.
- Maintain various records and documents including but not limited to submission of expense reports, check requests, and event registration.
- Read, research and route correspondence for Senior Team; draft letters and documents; collect and analyze information; initiate telecommunications, and other efforts as appropriate.
- Develop and utilize filing and retrieval systems and recording meeting discussions.
We are looking for people who have: - Bachelor Degree preferred
- Experience in office administration preferred
- Excellent written and verbal communication skills
- Time-management skills.
- Ability to pay attention to detail.
- Extremely well organized.
- Comfortable taking initiative.
- Ability to multitask.
- Relevant understanding of frequently used computer software and programs, such as Microsoft Office.
- Excellent interpersonal skills.
Physical Requirements: The physical demands described here are representative of those that must be met by a team member to successfully perform the essential functions of this job, - Ability to sit for extended time periods,
- Moderate travel is required in the Southeastern Massachusetts area,
- Frequent phone and computer use
- Must be able to lift up to 15 pounds at times
