Hourly Range: $30.00 - $33.00
Location: Waltham, MA (Hybrid – On-site Monday, Wednesday, Thursday)

Job Overview:
The Administrative Assistant plays a key role in supporting our Business Development and Sales Administration teams by ensuring efficient contract processing, maintaining high-quality data in Salesforce, and enabling seamless day-to-day operations.
This is a high-impact position that directly supports revenue-generating teams and offers exposure to commercial operations within a fast-growing global organization. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, collaborative environment.
Key Responsibilities
- Assist with preparation, processing, and management of client contracts.
- Manage the contract signature process, including tracking status, follow-up, and final document collection.
- Maintain accurate and up-to-date contract records and documentation in Salesforce.
- Support Business Development activities including client orders, quotations, and follow-up tasks.
- Perform data quality checks and validation to ensure accuracy of quotations and client records.
- Support CRM data cleanup and maintenance initiatives across Salesforce and related systems.
- Manage office supply inventory, ordering, and vendor coordination.
- Coordinate logistics for company events, meetings, and team activities.
- Serve as a professional point of contact for client communications via phone and email.
- Ensure timely responses to inquiries and route requests to appropriate team members.
What We're Looking For:
- Associate's or Bachelor's degree preferred, or equivalent relevant experience.
- 2–4 years of administrative experience, preferably supporting sales, business development, or contract operations.
- Experience working with Salesforce or other CRM systems preferred
- Strong organizational skills with exceptional attention to detail and accuracy
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Strong written and verbal communication skills
