Nuclear Medicine Program Administrator I
Overview
Under moderate supervision, the Nuclear Medicine Program Administrator I (NMPA-I) will support the technical, clinical, professional, and administrative staff in coordinating the various operational components of the Nuclear Medicine and Theranostics program within the Department of Imaging. The NMPA-I works as an integral part of the team to assist with various operational duties such as scheduling, patient registration, coordinating with various clinics and research study teams, ordering and stocking supplies, and regulatory/accreditation compliance activities.
This position is on-site, with possibility of remote work (Hybrid: 2-3 days onsite/week) after completing the initial training.

Primary Duties and Responsibilities
- Supports operational duties which includes, but not limited to, organizing and validating orders, verifying prior auth requirements & status for specialty PET/CT scan or therapy orders, ordering/cancelling dose orders with vendors, scheduling routine and follow-up appointments, confirmation calls, and patient preparation instructions.
- Coordinates with various disease center/medical oncology study teams to validate orders and schedule appointments for research trials.
- Works closely with prior auth team, billing team, and disease center/medical oncology study teams to ensure all research appointments are billed to the appropriate party.
- Provides operational and administrative support in the development and implementation of program functions.
- Provides support with patient flow, including arranging appointments (consults, blood work, follow-up, call-back, etc.), preparing patients for imaging or therapy procedures and chaperoning procedures when needed.
- Provides periodic support and cross-coverage of other Nuclear Medicine Program Administrators when needed (vacation/sick coverage).
- May be responsible for maintaining program databases, collecting, and analyzing data, and preparing reports to track program progress and outcome.
- Serves as a central point of contact between staff, other departments, research teams, and/or external constituencies on day-to-day programmatic, operational, and administrative matters.
- Triage inquiries and provide general problem resolution related to program with appropriate level of urgency.
- Maintains and manages processes associated with varied programs, projects, and events.
- Prepares documents such as correspondence, reports, presentations, packets.
- May work on special assignments and projects as needed.
Knowledge, Skills and Abilities
- Strong written and oral communication skills.
- Proficient knowledge of computer applications including Microsoft Office Suite, Google Suite, Zoom, Adobe.
- Knowledge of trends, issues, and accepted practices relevant to the position.
- Excellent attention to detail skills.
- Exceptional customer service skills and the ability to interact professionally with peers, leadership, and external contacts.
- Must possess the ability to problem solve with minimal guidance, maintain confidentiality, and pay attention to detail.
- Excellent ability to organize, prioritize and follow-through.
- Ability to apply independently a wide variety of policies/ procedures where specified guidelines may not exist.
Minimum Job Qualifications
- High School Diploma required. Bachelor’s degree preferred.
- 3 years of experience working in a medical or scientific research setting or comparable technology-oriented business environment required.

The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications.
For union positions, the pay range is determined by the Collective Bargaining Agreement (CBA).
