Quality Specialist, Document Control
- Support the execution and maintenance of company-wide document management processes.
- Ensure compliance with established governance models, workflows, and lifecycle policies.
- Partner with business units to coordinate document creation, review, approval, release, and archival activities.
- Serve as the front-line contact for document system support, training, and issue resolution.
- Administer daily activities within the Document Management System (DMS).
- Maintain accuracy and integrity of document metadata, security permissions, and classification standards.
- Coordinate routing of documents for review and approval across multiple functions.
- Monitor compliance with document templates, formatting, and content standards.
- Provide first-line support to employees for DMS navigation, troubleshooting, and training needs.
- Assist in preparing metrics, dashboards, and audit logs for document system usage and compliance.
- Responsible for generating regular and ad hoc reports that track document-related activities, metrics, and compliance status.
- Participate in audits by compiling document evidence, verifying version control, and closing gaps.
- Support change management and continuous improvement initiatives related to document workflows and practices.
- Associate’s degree, or equivalent education plus experience, in Information Management, Business Administration, or a related field.
- 2+ years of experience in document control, records management, or administrative support within a regulated or complex environment.
- Experience with document management platforms.
- Proficiency with productivity and collaboration tools (GSuite, JIRA, Confluence, etc.).
- Strong attention to detail, organizational skills, and ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Demonstrated ability to work independently as well as collaboratively within cross-functional teams.
- Experience in supporting compliance documentation for functional safety, cybersecurity or quality audits.
- Proactive, solution-orientated attitude in a continuously changing environment.
- Ability to quickly adopt new tools and standards as needed.
- Experience in fast paced environments and teams is highly valued.
- Familiarity with AODocs is highly desirable.
- Working knowledge of ISO 9001, ISO 26262 and UL4600 a plus.
- Technical writing skills.
- Certified Document Controller (CDC) | Certified Informational Professional (CIP)
