Administrative Assistant (Springfield)
Responsibilities:
The Administrative Assistant performs clerical tasks as assigned. He/She reports directly to the Clinical Director.
Essential Job Functions
- Ensures telephone calls and walk-ins are greeted in a cordial and professional manner, and given prompt assistance.
- Projects a positive, energetic, clear and pleasant phone voice.
- Takes messages politely and accurately and delivers them promptly.
- Develop, maintains and promotes a pleasant relationship with all employees, clients, patients, vendors, and visitors.
- Demonstrates conflict management skills and maintains professional composure with all callers and visitors.
- Performs data entry tasks in an accurate and efficient manner.
- Refers employees to the Human Resources Department when necessary.
- Assists company representatives with various research and/or special projects.
- Compiles and completes Word and Excel documents as needed.
- Assists with necessary copying and all necessary filing.
- Maintains confidentiality of all office and record information.
- Opens mail, sorts it and distributes it to the proper person.
- Abides by personnel policies of the agency.
- Is productive and uses time efficiently.
- Follows instructions, is punctual, and attendance is acceptable.
- Performs other duties as assigned.
Qualifications:
- High school diploma or equivalent.
- Ability to work in a fast-paced environment.
- Excellent customer services skills.
- Language: Russian
Working Conditions/Physical Demands:
- Must be able to read 12-point or larger type.
- Must be able to hear adequately with no more than an amplifier on the phone, and speak in a manner understood by most persons.

- Ability to access all areas of the facility throughout the workday. Ability to lift up to 35 pounds occasionally, 15 pounds frequently, and 7 pounds constantly. The Administrative Assistant is required to obtain assistance of another qualified employee when attempting to lift or transfer objects over 25 pounds. Requires constant hand grasp and finger dexterity; frequent sitting, standing, walking and repetitive leg and arm movements, occasional bending, reaching forward and overhead; squatting and kneeling. Ability to communicate verbally with an excellent comprehension of the English language. Work is generally performed in an indoor, well-lighted, well-ventilated, heated and air-conditioned environment.
