Job Summary: As the Assistant Project Manager , you will play a critical part in managing project documentation, coordinating resources, and ensuring effective communication among stakeholders. The APM is responsible for maintaining accurate project records, tracking schedules, and supporting daily field operations to ensure projects are delivered on time, within budget, and to quality standards.
Key Responsibilities:
- Ensures all Foremen and field technicians accurately submit and code their time for projects assigned to the Project Manager, verifying that the correct cost codes are used and reviewing for accuracy and compliance before payroll deadlines.
- Assists in maintaining ongoing communication with General Contractors, clients, and project stakeholders, coordinating responses to RFIs, schedule updates, and progress reports.
- Prepares, compiles, and tracks submittals for review and approval, maintaining organized submittal logs.
- Tracks, orders, and coordinates the delivery of materials and equipment to meet project schedules, working with vendors and suppliers to resolve delivery or availability issues.
- Maintains organized project files including contracts, change orders, RFIs, submittals, and correspondence.
- Updates and monitors project schedules in coordination with the Project Manager, tracking milestones and following up on critical path items.
- Assists in gathering documentation, pricing, and approvals for change orders.
- Supports field teams by relaying information, clarifying scope, and addressing immediate project needs.
- Attends project meetings, takes minutes, and follows up on action items as assigned by the Project Manager.
- Assists with project closeout documentation, warranty submissions, and final invoicing requirements.
Qualifications:
- 2–4 years of experience in construction project coordination, administration, or management support.
- Strong understanding of construction processes, documentation, and scheduling.
- Proficient in Microsoft Office Suite; experience with construction software such as Intacct, ServiceTitan, or similar is a plus.
- Excellent communication, organizational, and time management skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Detail-oriented with strong follow-up skills.

Environment
- Office environment with occasional interruptions
- The noise level in the work environment is usually moderate
- Evening and/or early morning, and/or weekend and holiday hours periodically

- Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust
- May require physical effort and cardiac endurance while reaching with hands and arms, stooping, kneeling, crouching, standing, walking, balancing, bending, leaning, kneeling, walking, and climbing
- Carrying supplies, up to 25 lbs.
