What You'll do
Salem Academy Charter School seeks an excellent Administrative Services Coordinator. We are looking for a candidate who is committed to supporting a school culture of excellence and joyful learning. This employee is a member of our school-wide Operations team
The ideal candidate has experience working in an office setting and skills in data management. The Administrative Services Coordinator will be responsible for the following in addition to other duties as assigned by their manager:
Front Desk Assistance:
- Oversee and manage general front desk operations, including phone and visitor interactions
- Monitor and maintain building access and security protocols at the main entrance
- Coordinate and support visitor and student check-in/out processes
- Facilitate student transitions during arrival, dismissal, and throughout the day
- Provide supervision and guidance for student movement across campus as needed
- Administer student attendance tracking and reporting in alignment with school procedures
- Maintain accurate records of attendance communications received via multiple channels
- Support faculty and staff with attendance documentation and data entry
- Communicate attendance-related information to families and relevant school personnel
Communication coordination:
- Support the maintenance and updates of school websites and digital communication platforms
- Assist in managing school calendars and event scheduling, including coordination of logistics and documentation
- Oversee administrative aspects of school events and field trips, including form management, transportation coordination, and payment processing
- Coordinate internal communications and documentation related to key academic dates and events
- Provide assistance with end-of-term duties, including preparation of recognition materials and communication merges
- Facilitate the processing of student work permits and related documentation
- Assist with uploading and maintaining student and staff information in school information systems
Admissions Assistance:
- Support student enrollment and withdrawal processes, including records preparation and inter-school communication
- Maintain accurate student data in school information systems and ensure timely updates to administrative platforms
- Manage student file organization, including the processing of file requests and maintaining confidentiality of records
- Assist with lottery application processing and post-lottery communication, including data entry, mailings, and applicant correspondence
- Coordinate components of the admissions process, including preparation of materials, scheduling, communications, and event support
- Contribute to the planning and execution of lottery-related events, trainings, and communications (e.g., scripts, presentations, translations)
- Track and update enrollment statuses and manage the distribution and processing of enrollment packets
- Provide administrative support for family outreach and communication efforts related to student enrollment and admissions
Academic Support:
- Assist with the organization and distribution of testing materials and supplies
- Support logistical planning and setup of testing environments to ensure smooth administration
- Provide day-of testing support, including staff coverage and operational assistance as needed

Qualifications:
- Associate's Degree or higher with 3-4 years office experience.
- Strong data Entry skills, facility with database work and technology savvy.
- Are multilingual, including in Spanish and English;
- Strong interpersonal and communication skills.
- Ability to work independently and handle multiple tasks.
- Excellent organizational skills and attention to detail.
- Computer expertise in Microsoft Word and Excel.
- Bilingual capabilities in Spanish and English
Working Conditions and Physical Effort:
- This position includes a half hour lunch break on 8-hour work days
- The policies and procedures in the school's Personnel Policy handbook apply.
- Work is normally performed in a typical interior/office workplace environment.
- No or very limited physical effort required.
- No or very limited exposure to physical risk.

Pay: From $48,500.00 per year
