We are seeking a detail-oriented Workflow Management Specialist to support our technical team across multiple business functions. This position will play a critical role in optimizing operational efficiency through documentation management, project coordination, and technical reporting support. The ideal candidate will demonstrate strong organizational capabilities and proficiency with enterprise software tools while working collaboratively with engineering technical leads.

As a Workflow Management Specialist, you will serve as a critical liaison between technical teams and project stakeholders, ensuring seamless operational execution across multiple initiatives. Your day-to-day activities will involve managing complex documentation workflows, coordinating project schedules, and maintaining organized systems that enable our engineering teams to focus on technical excellence. You will leverage the Microsoft Product Suite and Atlassian platforms to create dashboards, track action items, and support development of comprehensive briefing materials that communicate project status to leadership. Additionally, you will contribute to business development efforts by supporting proposal creation and project estimate development. This role requires a proactive individual who can balance multiple priorities while maintaining meticulous attention to detail in configuration management, technical documentation, and workflow optimization initiatives.

What you will be doing..

Analyzes business and technical processes to formulate and develop new and modified business information processing systems, such as production and inventory control systems, financial tracking systems, marketing and human resources systems. Represents the business unit to define requirements and business cases for the technology developments. Coordinates with business and technology teams, ascertaining system requirements, such as program functions, output requirements, input data acquisition, and system techniques and controls. Requires knowledge of e-commerce tools, computer system capabilities, business processes, and work flow.

Additional job responsibilities include:

  • Perform advanced activities within the Microsoft Product Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint, to support team collaboration and documentation needs

  • Administer and support Jira platform activities including dashboard creation, filter development, workflow configuration and management, and development of user guidance documentation

  • Provide operational and programmatic support including documentation review and analysis, briefing preparation, action item tracking, schedule coordination between team members, and failure/issue tracking management

  • Provide assistance in the development and maintenance of project plans, schedules, and action item tracking systems for engineering technical leads

  • Support the preparation of project briefings in Microsoft PowerPoint and develop information papers in Microsoft Word for internal and external stakeholders

  • Assist in the development of project estimates and cost analysis documentation in support of proposal creation and business development activities

  • Support process documentation initiatives and contribute to workflow improvement efforts across various business functions

  • Maintain configuration management product awareness, including documentation control, version discipline, storage protocols, and archive management

  • Edit, format, and support the development of technical reports under the direction of technical leads, ensuring accuracy and compliance with established standards

  • Contribute to reporting activities and maintain organized documentation repositories to support project deliverables

What we are looking for..

  • 6 years relevant experience with Bachelors in related field; 4 years relevant experience with Masters in related field; or High School Diploma or equivalent and 10 years relevant experience.

  • Must be a US Citizen and able to obtain and maintain a government clearance #LI-MH1

  • Must be located in commuting distance to Pocasset, Mass

  • Demonstrated proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint)

  • Experience with Jira and Confluence administration including dashboard creation, filter configuration, and workflow development and management, and knowledge base documentation

Bonus points for..

  • Experience with Excel activities (macro generation, pivot table usage, data visualization)

  • Proven ability to provide operational and programmatic support in a technical environment

  • Experience with documentation review, analysis, and control processes

  • Strong briefing preparation and presentation development capabilities

  • Proficiency in action item tracking, schedule coordination, and issue/failure tracking management

  • Experience supporting proposal development activities, including project estimates and cost documentation

  • Strong organizational and time management abilities with attention to detail

  • Excellent written and verbal communication skills

  • Experience with configuration management principles and documentation control

  • Advanced Excel experience

  • AI usage to improve workflow efficiencies

  • Data Visualization Tools i.e. Power BI or python scripting

  • Experience integrating Confluence/Jira

  • Creation of workflows in sharepoint

  • Experience working in Siemens Team Center environment
