Job Overview: The Account Receivable Specialist is responsible for accurately applying incoming payments to customer accounts in a timely manner. This role is critical in ensuring that cash receipts are properly posted and that customer accounts reflect up-to-date balances. The specialist works closely with collections, billing, and customer service teams to resolve discrepancies and maintain accurate financial records.
Key Responsibilities:
- Process and apply daily customer payments received via lockbox, ACH, wire transfer, etc.
- Match payments to open invoices using remittance advice or other supporting documentation.
- Identify and research unapplied or misapplied payments; work with customers or internal teams to resolve.
- Reconcile payments with bank statements and report discrepancies to management.
- Document/update customer account records, including adjustments, short pays, and overpayments.
- Collaborate with collections and billing teams to resolve payment disputes or unapplied cash.
- Support month-end and year-end closing activities, including cash reconciliations and reporting.
- Prepare and maintain documentation for audits and compliance reviews.
Qualifications:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting preferred.
- 2+ years of experience in cash applications, accounts receivable, or general accounting.
- Experience with ERP systems, Microsoft Office and lockbox processing.
- High attention to detail and accuracy in data entry and reconciliation.
- Strong analytical and problem-solving skills.
- Effective communication and interpersonal skills.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
Preferred Skills:
- Experience in a high-volume environments or shared services center.
- Familiarity with customer portals and third-party payment platforms.
- Knowledge of automated cash application tools or OCR software.
