The Azenta Global Events Team is responsible for planning, developing, and managing a wide range of events that are primarily external and include: industry tradeshows, meetings, workshops, and customer facing events from start to finish. The Team also supports internal events such as: facility tours, lab openings, kick-off meetings, quarterly meetings, office openings, yearly sales meetings and other events as required.
As the Tradeshow and Events Specialist , you will coordinate all details required to ensure an event runs smoothly and successfully. This role requires project management experience and a strong team player, with a positive and enthusiastic attitude. You will be part of a global marketing department working closely with Marketing and other internal stakeholders and external partners daily. You'll learn how to work as part of a large, cross-functional global team while managing multiple projects under tight deadlines.
This role will be primarily remote; however, candidates must be able to drive to the Burlington office at least one day a week to work on projects. The role requires travel to tradeshows and will involve working nights and weekends while onsite at events and during our busiest times.
What You'll Do…
- Working closely with the Sr. Manager, plan, execute and manage a wide range of meetings and events in accordance with the event strategy, ensuring alignment with key stakeholders
- Drive lead generation
- Collaborate and build strategic relationships with key stakeholders (regional and global marketing, sales, and other marketing teams) to define and execute event plans
- Contribute to developing long-term product/technical vision and strategy for events
- Develops promotional plans for smaller events. Works closely with the social, digital, creative and marcom teams to create content, align on strategy and execute event promo plans.
- Help drive the development of new marketing technology strategies and best practices through research and development of new systems, platforms, and capabilities
- Research, define business requirements, evaluate, select, onboard, and manage a selection of vendors
- Manage all event related logistics, such as show services, shipping, food & beverage, entertainment, customer activities, housing, site visits, resources, floor plans, name badges, gifts, invoices, payments, equipment, and demo shells
- Act as main point of communication, for all plans, status, and updates, with key stakeholders, market teams, customers and Azenta attendees
- Promote the Azenta brand through sponsorships
- Working closely with the Sr. Manager, work with external suppliers (exhibit house, creative agencies, logistics company, I&D company, etc.) to design, produce and deliver events assets, requiring knowledge of effective event operation processes
- Seek out innovative and cutting-edge ways to market to customers through events
- Control and manage event budgets and reconciliation.
- Manage room blocks for larger conferences
- Manage speaker coordination
- Maintain filing system/history for all shows including project summary documents
- Assist in maintaining equipment inventory, banner inventory and other non-specific tradeshow tasks as necessary.
- Drive customer data acquisition and profiling through events tactics
- Analyze and report on events results and pro-actively provide recommendations for future event planning
What you will Bring…
- 3+ years of experience in event, tradeshow, project management experience
- Global events experience strongly preferred
- Bachelor's degree or equivalent work experience, preferably in communications or event planning
- CTSM, CMP certifications preferred
- Experience in event planning in a highly technical field or scientific environment is preferred
- Working knowledge of sales and marketing infrastructure systems such as CRMs, marketing databases, and project management software (Salesforce.com)
- Strong knowledge of marketing demand generation mix including email, social media, online marketing, and channel marketing, with a customer centric focus
- Experience with controlling and managing event budgets
- Desire to work in a fast-paced, diverse environment
- Highly flexible and adaptable to changing business priorities
- Strong communication skills and problem-solving skills
- Self-motivated, self-challenging
- Ability to work independently and as part of a team
- Creative flair and ability to suggest innovative ideas
Working Conditions/ Schedule
- Willing and able to travel domestically and globally 20%, including weekends and out of hours
