Position Summary
The Senior Onboarding Specialist is responsible for managing and improving the onboarding experience for all new hires and rehires. This role oversees onboarding operations including occupational health scheduling, background checks, I-9 compliance, payroll entry, orientation coordination, and onboarding documentation. The specialist partners closely with Recruiting, Compensation & Benefits, HR Operations, and hiring managers to ensure a seamless, compliant, and positive employee onboarding experience.
This is a highly visible role requiring strong project management, organizational, analytical, and communication skills in a fast-paced healthcare environment.
Key Responsibilities
- Coordinate and manage the full onboarding process for new hires and rehires.
- Schedule occupational health appointments and monitor completion requirements.
- Process onboarding documents including I-9s, E-Verify, background checks, CORI checks, and payroll setup.
- Communicate with candidates, recruiters, hiring managers, and HR teams regarding onboarding status and outstanding requirements.
- Maintain accurate onboarding records and personnel documentation.
- Update onboarding trackers, dashboards, and reporting metrics.
- Enter employee information into payroll and HR systems in a timely manner.
- Conduct onboarding compliance audits and identify process improvement opportunities.
- Monitor onboarding metrics including time-to-start and new hire completion rates.
- Ensure compliance with organizational policies, EEO requirements, and regulatory guidelines.
Required Qualifications
Education
- Bachelor’s Degree (BS/BA) required.
Experience
- Minimum 5 years of experience in onboarding, recruiting coordination, HR operations, or high-volume administrative support.
- Experience in project coordination or process improvement preferred.
- Healthcare or fast-paced corporate environment experience strongly preferred.
Required Skills
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Ability to manage multiple deadlines in a fast-paced environment.
- Experience with onboarding systems and applicant tracking systems (ATS).
- Workday experience preferred.
- Strong Microsoft Office skills including Excel, Outlook, Word, and PowerPoint.
- Strong customer service and relationship-building skills.
Preferred Qualifications
- Experience with onboarding compliance, I-9 audits, and background check processing.
- Project management experience.
- Healthcare onboarding experience preferred
