The Volunteer Programs Coordinator plays a critical role in advancing Catholic Charities Boston’s mission by supporting volunteering across the agency. This position coordinates efforts to recruit volunteers while fostering meaningful partnerships with schools, universities, parishes, corporations, and other organizations. As an external facing representative of Catholic Charities, the Coordinator will play an important role in expanding engagement with individuals and groups in the community. Additional key responsibilities include data management, volunteer management, and volunteer appreciation, ensuring high-quality experiences for volunteers and maximizing their contributions to the organization. This role also supports event planning and in-kind donation coordination, requiring a proactive, organized, and collaborative individual with excellent communication and problem-solving skills. The ideal candidate is a motivated professional committed to making a tangible difference through community service and engagement.
RESPONSIBILITIES:
- Volunteer Recruitment
- Develop and implement marketing campaigns for volunteer recruitment for ongoing needs and special initiatives.
- Create and execute a plan for engagement of local catholic schools, universities and young professionals.
- Manage relationships with parishes in the Archdiocese of Boston.
- Work with local companies and organizations that want to engage with volunteer opportunities.
- Represent CCAB at community events and external fundraisers being held in benefit of Catholic Charities as well as volunteer recruitment events.
- Develop and update recruitment materials.
- Keep the CCAB website up to date with current volunteer opportunities.
- Research and pursue additional avenues for recruitment as needed.
- Volunteer Management
- Support the identification, updating, and codification of volunteer opportunities across the agency.
- Support the vetting, placement, onboarding, and training of volunteers.
- Collaborate with staff to provide positive, impactful, and high-quality volunteer experiences for individuals and groups.
- Support the system for structured, ongoing volunteer support and supervision.
- Volunteer Data Management
- Manage volunteer management system—Get Connected—including troubleshooting technical issues, improving the functionality, etc.
- Iterate on Get Connected trainings and associated materials.
- Manage the transition of data from Get Connected to Raiser’s Edge.
- Track and report on volunteer metrics (e.g., number of volunteers, number of volunteer hours, translated dollar value) for internal and external agency purposes.
- Volunteer Appreciation
- Support the planning and running of volunteer appreciation events.
- Coordinate other appreciation efforts that fall during Volunteer Appreciation Week.
- Coordinate with programs on volunteer appreciation gifts throughout the year.
- Manage volunteer gift inventory and re-order/re-stock as needed.
- In-Kind Donations
- Coordinate with program staff on creating and managing Amazon wish lists and donation drives.
- Record in-kind donations in Raiser’s Edge.
- Edit in-kind acknowledgement letters.
- Distribute in-kind donations to programs.
- Agency Event Support
- Support Thanksgiving Turkey Distribution event planning.
- Work Friday night Thanksgiving packing event and at least one regional Thanksgiving distribution event.
- Support other large event planning and execution (e.g., Spring Reception, Spring Celebration, AEC Cares).
- Additional Functions
- Maintain professional boundaries and confidentiality.
- Attendance at meetings and trainings.
- Frequent local travel, including on some evening and weekends, across program and potential recruitment sites.
- Work environment will include an onsite office environment, driving to/working from program sites for volunteer management and to community locations for recruitment purposes, and can include an in-home office setting.
- Ability to lift, push or pull materials (e.g., to transport in-kind donations, promotional materials, etc.).
QUALIFICATIONS:
- An interest in and commitment to the mission of Catholic Charities and in the power of volunteering.
- Bachelor’s degree or equivalent work experience (2-3) years.
- 1-2 years of experience in volunteer recruitment, coordination, or program management.
- Demonstrated knowledge and ability in creating and/or managing volunteer databases or volunteer platforms strongly preferred.
- Strong planning and organizational skills.
- Excellent written and verbal communication skills, including public speaking.
- Ability to communicate effectively and to build strong working relationships with diverse volunteers, staff, and clients/community partners.
- Demonstrated problem solving skills with high attention to detail.
- Proven time management skills with the ability to respond to time-critical issues and prioritize several projects and tasks simultaneously to meet regular deadlines.
- Computer literacy with proficiency in Microsoft Office Suite.
- Professional presentation with mature judgment and ability to maintain professional boundaries and confidentiality.
- Weekend and evening availability is required as needed.
- Valid driver’s license and access to own reliable vehicle with a willingness to travel locally to program sites, recruitment opportunities, etc.
