Our client, the largest union in the United States is seeking an Administrative Assistant to join their Boston office.

  • This is a temp-to-hire position.
  • The work schedule is Monday – Friday.
  • The work hours are Monday – Friday with 9am – 5pm with occasional weeknight and weekend work.
  • The pay rate is $25.00 per hour.
  • Bilingual Spanish is required.

DUTIES AND RESPONSIBILITIES

We are looking for a bilingual administrative assistant to support administrative operations in our Boston office.

Key responsibilities include:

· Staffing the reception area including greeting visitors, answering the phone, and routing calls, and processing voicemail

· Screening members for worksite issues and submitting member information to the Grievance Center

· Updating member contact information in the Union database as well as member participation in activity the database

· Providing logistical support for Union events including organizing and lifting materials, and setting up for meetings and events

· Processing incoming/outgoing mail including UPS and FedEx

· Providing clerical support including data entry, filing, copying, document editing

· Supporting administrative functions using Union-provided technology tools and applications

· Assisting members with dues questions and issues, submitting/processing dues cards, and liaising with the Dues department as necessary

· Maintaining office space and equipment

· Maintaining and organizing office supply inventory

· Limited administrative errands for Union operations

· Set-up/breakdown of laptops/projector/conference calls for meetings

· Respond to external requests to reserve space and equipment

· Other administrative duties as required.

QUALIFICATIONS AND EXPERIENCE

While no one candidate will possess every quality outlined for this position, the successful candidate will bring many of the following professional skills and personal attributes

· Minimum 1 year experience in an equivalent position

· Bilingual is required (Spanish/English)

· Ability to multi-task, prioritize responsibilities and meet deadlines

· Being well organized and detail-oriented

· Strong professional and calm demeanor, exhibiting tact, and working well with people of diverse economic/cultural backgrounds

· Proficient computer, database, phone system and other technology skills covering a variety of office equipment

· Strong interpersonal and communication skills (written and verbal)
