Administrative Assistant/Specialist - Medical Staff Services
Job Description Summary
South Shore Hospital, Southeastern Massachusetts's leading provider of emergency, acute, and outpatient care, is seeking an experienced Medical Staff Specialist to join our Medical Staff Services team. The location of this role is hybrid, with work being conducted from our main campus in Weymouth four days per week and one day of remote work. Reporting to the Director of Medical Staff Services, the Medical Staff Specialist will perform a wide variety of administrative and credentialing duties in support of Department operations.
Job Description
Responsibilities
- Create/conduct departmental correspondence, memos, and reports, ensuring all are accurate, grammatically correct, and completed within specified timeframe
- Assist in the coordination of onboarding students/residents and fellows in concert with the GME Coordinator and Provider Navigator
- Triage department’s main phone line as well as Director’s
- Assist in setting up meetings, committee meetings, and appointments as requested by Director/manager; responsible for securing meeting rooms, equipment support, and any dining room orders
- Responsible in coordination with other staff members for the accurate reporting and tracking of expirables: Medical licenses, Medical license applications, DEA, Controlled Substance Certificates, Medical Malpractice, and Board and other certifications as required according to specialty and scope of practice
- Assist in the maintenance of the Business and personal information as provided in the current credentialing software and organizational software; communicate these changes as necessary
- Order all office supplies as needed in a timely manner and maintain organized supply and storage/file room
- Maintain medical staff email groups with monthly updating according to changes approved by the board of directors
- Assists Director in the maintenance of Medical Staff By-Laws, working closely with the Medical Staff By-Laws Committee; attending meetings, taking minutes, and assuring that approved changes are completed in the master copy of the By-laws
- Assist in preparation and coordination of Medical Executive Committee Meetings, taking minutes and attending meeting as needed
- Submit all payments, reimbursements, etc to vendors, utilizing Workday system for approval by the director
Skills & Abilities
- Excellent written, verbal, and interpersonal communication skills
- Time management skills, the ability to multitask, and prioritization skills are critical
- Ability to work independently, but also as part of a team
- Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); helpful if familiar with Workday and Verity CredentialStream Software
Qualifications
- HS diploma (Bachelor’s or Associate’s degree preferred)
- 3+ years of medical staff office administration experience in healthcare, managed care, or credentialing
