Assistant Director, Stewardship, Donor Experience & Engagement
Overview
As an integral member of the Division of Philanthropy, the Assistant Director collaborates with colleagues across the Division to meet annual fundraising goals. The Assistant Director works closely with the Associate Director, Stewardship, Donor Experience & Engagement to drive stewardship programs and strategic initiatives including gift acknowledgments, special correspondence from senior leaders, donor-named awards and lectures, stewardship mailings, gift agreements, and endowed fund reporting. Responsible for assisting the entire Division with reaching financial goals.
This position's work location is fully remote with occasional time on-campus in Brookline, MA. The selected candidate may only work remotely from a New England state (ME, VT, NH, MA, CT, RI). - Manage the gift acknowledgement process for all major gifts, and Trustee/VIP donor gifts, including:
- Analyze gift reports daily to ensure gifts that require acknowledgements from senior leadership are assigned accurately and with expedience;
- Edit materials drafted by the Donor Experience & Engagement Writers;
- Oversee and facilitate delivery of acknowledgements to donors;
- Serve as a resource for colleagues unfamiliar with the gift acknowledgement process, conduct staff trainings, update documentation, and suggest and implement program enhancements;
- Serve as an acknowledgement writer as needed;
- Assist in management and fulfillment of requests related to other writing assignments received from the Office of the Senior Vice President, the Office of the President, and fundraising teams;
- Manage the creation, review, and delivery of annual acknowledgement templates utilized by other teams within the Division, including aspects of the automated acknowledgment template process;
- Manage donor-named awards and lectures program, including:
- Correspondence to donors and award recipients;
- Track lecture speakers and award recipients, compiling data for annual reporting;
- Coordination and communication with Dana-Farber administrators;
- Contribute to the annual financial reporting process for endowed funds, including:
- Facilitate delivery of endowment reports to donors and Division staff, as needed;
- Draft and edit leadership messaging;
- As needed, assist in managing gift agreements for incoming major gifts, including:
- Draft standard term agreements, letters of intent, and amendments;
- Oversee gift agreement tracking, approval, and distribution processes;
- Convey information regarding all new gifts to other departments;
- Conduct interviews, research, and write stories for the donor newsletter, Impact ;
- Assume other duties as necessary.
MINIMUM JOB QUALIFICATIONS:
- Bachelor’s degree required.
- 4+ years of relevant work experience such as philanthropy, advancement, donor relations, communications, or other related environments.
- Experience working in a large/complex organization a plus.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Excellent writer and editor, with a high attention to detail.
- Strong verbal and written communication skills.
- Superb organizational and project management capabilities.
- Able to demonstrate influence in situations across departments, without direct authority.
- Must be proficient in Microsoft SharePoint and Microsoft 365 applications (Word, Excel, Outlook, etc.). Familiarity with Adobe Acrobat preferred.
- Effective in working with varied audiences, internally and externally.

The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications.
For union positions, the pay range is determined by the Collective Bargaining Agreement (CBA).
