We are looking for an experienced, enthusiastic, detail-oriented team player to join our Team as an Office Coordinator.

WHAT WE DO

The Cape Cod Commercial Fishermen’s Alliance is a nationally recognized leader in marine conversation and fisheries policy. We are a dynamic and outcome-oriented group of commercial fishermen working for healthy oceans and profitable small-boat fisheries.

We are located in a renovated Captain’s house, with 8 full-time staff members, meeting space onsite, and a welcoming layout that supports hosting events. As a member of our team, you will get unique opportunities to learn about the fabric of our fishing community and help build a better future for the fish and fishermen of Cape Cod. We are a dog friendly office.

OVERVIEW

The Office Coordinator is responsible for all administrative aspects of office activities, providing direct support to the Accounting Director and other staff.

The ideal candidate for Office Coordinator should have strong data management skills, highly organized, excellent verbal and written communication skills, user proficiency in Microsoft Office and the ability to organize and prioritize work. Candidate should be proficient in creating, compiling, and tracking documents, spreadsheets and PDF’s. Candidate should also be comfortable working independently and contributing to a dynamic team. Website maintenance experience is a plus.

KEY RESPONSIBILITIES

General Office & Operations

  • Maintain office inventory
  • Purchase office supplies
  • Order and organize merchandise
  • Coordinate incoming deliveries of chowder and stew in preparation for outgoing orders/donations. Coordinate staff to help unload.
  • Keep online store up to date (Square)
  • Coordinate building and property maintenance and repairs with external vendors
  • Coordinate reservations to use the barn meeting room
  • Put up and remove seasonal office décor
  • Assist staff as needed with general administrative tasks
  • Communicate with staff to ensure that website is up to date and take any changes from staff and make changes in the system
  • Coordinate office IT, including computers, printers, phones and general telecommunications (through relationship with external IT vendor)
  • Assemble welcome binders for new Board members (annually)
  • Assemble annual meeting invitations and mail
  • Collect annual meeting RSVPs and proxy forms
  • Assemble industry membership renewal letters and mail
  • Scan paper to pdfs and organize documents
  • Occasionally make cash deposits to the bank

Small Boats, Big Taste & Merchandise

  • Set hours to be available for in-person purchases and pickups.
  • Keep webpage up to date
  • Email online purchases to coordinate when they can pick up at the office
  • Assemble online merchandise orders and ship them to customers
  • Make deliveries as needed to nearby organizations that we donate to.

Pier Host Program

  • Annually – update and order the learning books, poster, and Pier Host T-shirts in spring (receive design updates from other staff)
  • Keep webpage up to date
  • Coordinate the Pier Host schedule
  • Make sure learning books are available for the pier hosts to pick up

MUST HAVE SKILLS

  • Must be able to lift up to 35lbs
  • Must have experience with website maintenance (or be adept at learning new software)
  • Must be comfortable with Microsoft Office and Adobe Acrobat
  • Must have a valid driver’s license and a vehicle

COMPENSATION

This position is year-round and is categorized as an “occasional position” of 10 hours per week on average. “Occasional” employees earn 1 hour of sick time for every 30 hours worked. Work is expected to be done in the office. Set your schedule! There will be a flexible work agreement for days and hours worked (Monday through Friday), however we ask that you maintain the same schedule week to week. Compensation will be paid hourly at $25 per hour.
