Receiving & Inventory Specialist - Gifts

Role Snapshot The Receiving & Inventory Specialist is the primary engine behind our product intake, specifically focused on the high-volume receiving of gifts (merchandise, gifts, apparel, stationery, etc.). While you will handle some book intake, your expertise lies in the meticulous processing of sideline goods. This position requires a versatile professional who balances the meticulous, data-driven mindset needed for back-of-house logistics with the warm, engaging personality of a community bookseller. You will act as a central hub for the store, collaborating closely with the Buying, Events, and Floor teams to ensure all inventory—whether for the sales floor, special orders, or upcoming events—is handled with efficiency and precision. This is a hybrid role: you are the primary receiver responsible for the accuracy and flow of new sideline stock, and you also serve as a floor supervisor, directing the Bookseller team. Key Responsibilities Inventory & Logistics (Merchandise & Books)- Precise Receiving: Process daily shipments from publishers, wholesalers, and gift vendors, including specific stock orders for in-store and off-site events. This requires strong attention to detail to verify physical quantities against packing slips and ensure every item is accurately entered into our POS system, as well as the timely submission of any damage or discrepancy claims
- Merchandise Integration: Manage the unique intake requirements for merchandise (SKU-based), and books, ensuring consistent pricing and category tagging across all departments.
- Claims & Discrepancies: Lead the communication with vendors regarding damaged goods, short-shipments, or incorrect items. You ensure the store receives proper credit for all receiving errors.
- Stockroom Optimization: Maintain a highly organized receiving area. You manage the "back-to-front" flow, ensuring that once an item is received, it is efficiently moved to the sales floor or designated backstock.
- Supervisor on Duty (SOD): Serve as the primary leader on the floor, overseeing and directing the Bookseller team, assigning tasks, and ensuring all operational standards are met during your shift.
- Inventory & Visual Integrity: Work closely with the buying team to ensure received merchandise is transitioned to the floor promptly and displayed according to visual standards.
- Operational Flexibility: Perform other duties as assigned to support the overall success and health of the business.
- Process Improvement: Identify opportunities to streamline our receiving, shipping, or event-prep workflows to help the store run more efficiently.
- Ad-hoc Tasks: As an independent bookstore, we operate in an "all-hands-on-deck" environment. This role includes a wide variety of tasks that may fall outside this specific list, including, project support, and other duties as assigned to ensure the health of the business.
- Detail-Oriented Mindset: You must possess a high level of accuracy. You are the type of person who catches the small discrepancies that others might miss.
- Technical Proficiency: Comfort navigating retail POS systems, spreadsheets, and shipping software.
- Physical Stamina: Ability to stand for long periods and safely lift/move boxes of books and merchandise weighing up to 50 lbs on a daily basis.
- Communication Skills: Ability to collaborate effectively across different teams (Buying, Events, Floor Staff) and provide excellent service to our customers.
- Adaptability: A "no task too small" attitude and the ability to pivot easily between the quiet of the stockroom and the fast-paced environment of the sales floor.
- Role Type: Full-time, Overtime Eligible; onsite in Harvard Square, Cambridge, MA.
- Hourly Wage: $20.00 - 23.00 per hour
